About the position

The Event Manager serves as the liaison between the client and stadium operations from preparation through the execution of all stadium events. This position will report to the General Manager of Facilities & Events. This is a full-time position located in Louisville, KY with a competitive salary and benefits. The Event Manager must be willing to work nights, weekends, and some holidays as necessary, in addition to regular business hours. In this role, the Event Manager will serve as the primary contact for all private and special events at Lynn Family Stadium, providing exceptional customer service to both internal and external clients. The manager will ensure accurate scheduling and timing of events, coordinating with the food and beverage provider to ensure catering details are accurate and within the allotted budget. Leading day-of coordination and execution of all stadium events, the Event Manager will oversee load-in, setup, and breakdown processes. The Event Manager will prepare event resumes and scaled room diagrams for distribution, collaborating with operations on event setup and breakdown to ensure specifications are communicated and completed. Additionally, the manager will work with counterparts within the marketing department to ensure that the website, social media, and other digital content are up to date with relevant information, dates, and photos. Responsibilities also include conducting safety walks before gates on event days, coordinating security assignments for events, and preparing event summaries noting attendance, times, and significant problems. The Event Manager will assist in hiring event personnel to ensure efficiency and effectiveness, regularly assess the effectiveness of processes and procedures, and make recommendations for improvement. Other duties and special projects may be assigned as necessary.

Responsibilities

Requirements

  • Bachelor's degree from an accredited university or college in event management or related field.
  • Minimum of 3 years of experience in an event coordinator or customer service-related role.
  • Experience working in sports, entertainment, or corporate organizations preferred.
  • Excellent communication skills both oral and written.
  • Ability to maintain excellent client/customer relations and work in a team setting.
  • Strong PC skills (Word, Excel, Outlook, PowerPoint) and working knowledge of Adobe Creative Suite.
  • Ability to meet the schedule requirements of the position.
  • Successful completion of a pre-employment comprehensive background check.
  • Must be legally authorized or able to obtain authorization to work in the U.S.
