As the Event Manager for the Toledo Zoo and Aquarium, you will play a crucial role in ensuring that guests have an exceptional experience during their events. This position is not just about managing logistics; it’s about creating memorable moments for clients and their guests. You will be responsible for overseeing various group sales events, including weddings, proms, private events, and holiday parties. Your duties will include conducting sales walkthroughs of rental facilities with potential clients, coordinating event details, and ensuring that all aspects of the event run smoothly on the day of. You will also engage with both internal and external clients through phone and email communications, providing them with the necessary information and support to make their events successful. In addition to event management, you will be involved in the planning and coordination of catering services, assisting clients with menu selections, site choices, and bar service details. You will draft contracts, calculate deposit amounts, and communicate essential information to the catering and production departments. Your role will require you to collaborate with various teams, including Development, to ensure that all event needs are met. You will also be responsible for operating specific computer programs related to event management and catering, as well as managing facility coordinators when necessary. This position requires a flexible schedule, as events may occur during nights and weekends. You will report directly to the Director of Group Sales, and your contributions will be vital in maintaining the Zoo's reputation for providing excellent guest experiences.
