About the position

The Event Operations Coordinator (Hospitality Coordinator) role at ARC Group involves supporting the Global Experience team of a Fortune 500 company in the Tourism industry. This on-site position in Miami, FL, focuses on event logistics, package development, and coordination with various stakeholders to ensure seamless event execution. The role offers the potential for transition from a contract to a permanent position and requires strong communication skills and attention to detail.

Responsibilities

  • Research travel trends to enhance the development of 'Pre/Post Cruise' and company experiences, ensuring the inclusion of unique, destination-specific offerings like festivals, tours, and accommodations.
  • Build and manage event packages in the reservation system (Res 2.0), overseeing inventory, pricing strategies, rate negotiations, and the timely release of distressed inventory.
  • Coordinate weekly operations calls with operators, manage internal communication, and ensure that guests receive accurate pre-arrival information such as welcome letters, tour programs, and arrival details.
  • Work closely with operators and shipboard teams to ensure seamless product delivery, supporting training and onboarding efforts while managing communication between all parties.
  • Oversee the creation of events in internal systems (MXP, MyAdmin) to maximize visibility, support on-site event execution, and coordinate operational handovers to ensure flawless delivery.
  • Assist with other areas of the Destination Experiences Department, including Pre/Post Land Programs, Shore Excursions, and Concierge Services, ensuring smooth operations across all offerings.

Requirements

  • 4-year degree or equivalent experience required.
  • Minimum 2 years of experience in the tourism industry, preferably in luxury cruises or the hotel industry.
  • Fluent in English, both written and verbal; bilingual is a plus.
  • Proficient in Microsoft Office Suite and capable of learning and managing multiple systems.
  • Must understand event logistics and demonstrate the ability to build and organize event details in online systems.
