About the position

The Operations Coordinator will play a crucial role in supporting a high-profile event management initiative focused on collaboration between academia and industry. This position involves logistical support, relationship management, and ensuring a seamless event experience. The role is contract-based and can be performed remotely for the right candidate.

Responsibilities

  • Support the Director of Strategic Development to plan, communicate, and execute initiatives.
  • Build and maintain relationships with vendors and venues that align with event vision.
  • Orchestrate event details to ensure a seamless experience.
  • Monitor expenses to support financial objectives.
  • Oversee allocation and management of meeting spaces.
  • Ensure all deadlines and dependencies are met.
  • Coordinate catering, inventory, and deliverables specific to event requirements.
  • Manage accommodations for partners and attendees.
  • Support registration tailored to participants.
  • Provide flexible support for additional tasks or events as needed.

Requirements

  • Bachelor's degree in a relevant field and/or 2-5 years of experience in event planning, preferably in academic settings.
  • Proven organizational skills with a history of managing multiple projects to precise deadlines within budget constraints.
  • Dynamic personality capable of building strong relationships across all levels.
  • Ability to travel domestically and internationally for event representation.
  • Exceptional communication skills (written and oral), especially with academic audiences.
  • Superior time management skills to thrive in a fast-paced environment.
  • Familiarity with registration and virtual event platforms, particularly in educational contexts.
  • Desire to work independently with minimal supervision in a demanding environment.
  • Proficiency in Microsoft Office applications and familiarity with cloud-based event applications (e.g., Monday.com, Airtable, RainFocus).
