The Event Operations Coordinator plays a crucial role in ensuring the smooth execution of events by coordinating with group coordinators and hosts prior to functions. This position involves making introductions and ensuring that all arrangements are satisfactory to the guests. The coordinator is responsible for reading and analyzing banquet event orders to gather essential guest information, determine the proper setup, timeline, and specific guest needs, including buffets and action stations. The role requires responding to and fulfilling any special banquet event arrangements, as well as following up to ensure compliance with these arrangements. In addition to event coordination, the Event Operations Coordinator must adhere to all company safety and security policies and procedures. This includes reporting accidents, injuries, and unsafe work conditions to the manager and completing necessary safety training and certifications. The coordinator is expected to maintain a clean and professional appearance, uphold confidentiality of proprietary information, and protect company assets. A key aspect of the role is to welcome and acknowledge all guests according to company standards, anticipate and address their service needs, and express genuine appreciation to guests. Effective communication is essential, as the coordinator must speak clearly and professionally with others and answer telephones with appropriate etiquette. Building and maintaining positive working relationships with colleagues is vital to support the team in reaching common goals. The coordinator must ensure adherence to quality expectations and standards, visually inspect tools and equipment for defects, and perform various physical tasks such as standing, sitting, or walking for extended periods, as well as moving and lifting objects weighing up to 25 pounds. The role may also require navigating narrow or elevated spaces and uneven surfaces, as well as bending, twisting, and reaching as necessary. Other reasonable job duties may be assigned by supervisors as needed.
