Thermo Fisher Scientific is looking for an individual with outstanding talent and ambition for a unique opportunity to join as an Event Operations & Logistics Specialist in Pittsburgh, PA. In this role, you will become a member of the Strategic Meetings and Events team, collaborating with a multifaceted group of professionals in a fast-paced environment. You will have the chance to lead projects and manage operations and logistics critical to the success of our events. Your responsibilities will include acting as the primary liaison with the union exhibit house, ensuring projects are completed on time, meet specifications, and stay within budget. You will manage and coordinate the storage, organization, and maintenance of assets and properties in the warehouse, as well as coordinate the design, creation, production, and packaging of graphics and assets for shipping. Additionally, you will manage the smooth execution of exhibit, equipment, and asset delivery, focusing on cost-effectiveness and logistical efficiency. You will also compile and manage event operations and logistics documentation, including meeting resumes, schedules, budgets, and vendor contracts, while auditing and processing invoices, monthly expenses, balancing budgets, and ensuring timely payments to vendors.

Responsibilities

  • Act as the primary liaison with the union exhibit house, ensuring projects are completed on time, meet specifications, and stay within budget.
  • Manage and coordinate the storage, organization, and maintenance of assets and properties in the warehouse.
  • Coordinate the design, creation, production, and packaging of graphics and assets for shipping.
  • Manage the smooth execution of exhibit, equipment, and asset delivery, focusing on cost-effectiveness and logistical efficiency.
  • Coordinate the planning, design, and execution of exhibition booths for internal and customer-facing events.
  • Compile and manage event operations and logistics documentation, including meeting resumes, schedules, budgets, and vendor contracts.
  • Audit and process invoices, monthly expenses, balance budgets, and ensure timely payments to vendors.

Requirements

  • Bachelor's degree in marketing, communications, event planning, or a related field required.
  • 7+ years of professional experience in the meeting and events industry, with a particular emphasis on trade show operations.
  • Strong proficiency with hand tools and excels in physically demanding environments, involving heavy lifting, prolonged standing, and extended on-site event hours.
  • Proficiency in efficiently managing multiple timelines and schedules simultaneously with a strong emphasis on project management, attention to detail, prioritization, and decision-making skills.
  • Demonstrates proficiency in collaboration and teamwork, including effectively collaborating with union workers, while also being proactive, self-motivated, and capable of taking initiative and working independently.
  • Ability to travel 30% (domestically and internationally).
  • Proficient in Microsoft Office products, coupled with a capacity for swiftly mastering new software tools.
  • Proficiency in Microsoft Access is particularly advantageous.
