About the position

The Office of Faculty Development, Diversity and Engagement (OFDDE) at Stanford University is seeking an Event Planner for a 3-year fixed-term position. This role is pivotal in providing event planning and coordination, administrative support, and financial record-keeping related to various events and programs for OFDDE and the Stanford Emeriti/ae Council. The position will report directly to the Executive Director of Faculty Engagement and the Director of the IDEAL Fellows Program, while also receiving guidance and performance evaluations from the Emeriti/ae Council. The role is split evenly, with 50% of the responsibilities dedicated to supporting OFDDE and the other 50% to the Emeriti/ae Council. The work will primarily take place on Stanford's main campus in Palo Alto, with some opportunities for remote work. In this position, the Event Planner will lead the planning and coordination of numerous events, including those for the Emeriti/ae Council, IDEAL Provostial Fellows, Early Career Faculty engagement, and the Faculty Women's Forum. The frequency of events is expected to be at least weekly during the academic year, with potential for multiple events in a single week or day. Responsibilities include budget planning and management, venue and catering coordination, technology setup, and facilities management for events. The Event Planner will also serve as the primary liaison for event logistics and travel arrangements for various stakeholders, including consultants and speakers. Additionally, the role requires proficiency in financial systems, specifically using Oracle to process transactions related to vendors, requisitions, and purchase orders. The Event Planner will monitor and reconcile PCard transactions and communicate any financial issues to the Executive Assistant or Office Manager. Administrative support for the Executive Director and the Emeriti/ae Council will also be part of the responsibilities, ensuring smooth operations within the office.

Responsibilities

  • Lead event planning and coordination for Emeriti/ae Council programs and events, IDEAL Provostial Fellows events, Early Career Faculty engagement events, and Faculty Women's Forum events.
  • Be responsible for budget planning and management for events and programs.
  • Manage venue, catering, technology, and facilities for events.
  • Procure and coordinate vendor services and negotiate contracts for events.
  • Serve as the point person and liaison regarding event logistics and travel arrangements for consultants, event speakers, and conference guests.
  • Use Oracle financial system to process financial transactions related to vendors, requisitions, and purchase orders.
  • Monitor and reconcile PCard transactions and communicate financial issues to the Executive Assistant/Office Manager.
  • Provide administrative support for the Executive Director, the Emeriti/ae Council, and the Senior Associate Vice Provost.

Requirements

  • Bachelor's degree and three years of relevant experience or a combination of education and relevant experience.
  • Valid Non-Commercial Class California Driver's License.
  • Strong project management skills.
  • Strong time management skills.
  • Self-starter able to establish and manage own project portfolio and proactively alert management to any issues or conflicts between projects and assignments.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Proficiency working with Google suite of products, including Google Drives, docs, and sheets.
  • Proficiency using Zoom interface and setting up and administering Zoom meetings, including workshops and webinars.
  • Ability to communicate professionally and effectively in English with a wide range of faculty, staff, and students.
