About the position

Our education client is seeking an Event Planner to join their team. This role is largely remote, but you will need to go onsite for events and planning as needed. The position is expected to require 30-40 hours of work most weeks. This is an exciting opportunity for an Event Planner who will be involved in organizing events that range from 200 to 10,000 attendees. You will be responsible for planning smaller events independently and collaborating with an event company for larger events, with a total of approximately 15 events per year. As an Event Planner, you will be expected to demonstrate a track record of success and present a strong portfolio showcasing your experience in planning large-scale events. Your role will involve consulting with clients to capture their planning requirements, event goals, and needs. You will develop event concept proposals, present them for client approval, and make revisions based on feedback. Additionally, you will research event site locations, conduct walkthroughs and site evaluations, and negotiate host agreements. Your responsibilities will also include sourcing and securing vendors for various event elements such as staging, AV, decorating, catering, transportation, printing, and entertainment. You will ensure compliance with insurance, legal, health, and safety obligations, specify staff requirements, and coordinate their activities. Managing and maintaining event registration sites and databases will be part of your duties, along with coordinating all on-site logistics, including pre-production, production, registration and check-in, run-of-show, and event shutdown. You will proactively handle any arising issues and troubleshoot problems across all event phases. Finally, you will conduct post-production analysis and client and attendee satisfaction surveys to identify areas for improvement.
