About the position

We are seeking an Event Planner with advanced experience to join our team in New York. This role provides a long-term contract opportunity within the event planning industry. The successful candidate will be responsible for planning and executing a range of events, leading teams, and interacting effectively with both internal and external stakeholders. The Event Planner will play a crucial role in ensuring that events are executed flawlessly and meet the expectations of all parties involved. The Event Planner will be tasked with planning and executing events of various sizes and complexities, ranging from 10 to 500 attendees. This includes creating and managing project plans and budgets for each event, leading and directing teams working on event planning and execution, and managing all aspects of events including site selection, vendor negotiation, and contract administration. The role requires collaboration and effective interaction with internal business partners such as Food Services, Audio Visual, Security, and Facilities to ensure all logistical aspects are covered. In addition to logistical management, the Event Planner will provide strategic input and recommendations on event development, coordinate total logistics including menus, setup, decor, audio visual, and creative writing for invitations. The position also involves overseeing the management of hotel bookings and travel arrangements for attendees, coordinating the design and development of event websites and promotional materials, and managing the registration process along with coordination of speakers, giveaways, entertainment, and activities. This role is essential for the successful execution of events and requires a high level of organization, creativity, and communication skills.

Responsibilities

  • Plan and execute events of various sizes and complexities, ranging from 10 to 500 attendees.
