About the position

The Kois Center, LLC is seeking a dedicated and detail-oriented Event Planner/Coordinator to join our Operations team in Seattle, WA. This full-time position offers a competitive salary starting at $65,000 per year and includes a comprehensive benefits package. The Kois Center is a premier continuing education facility for dental professionals, hosting five to six-day courses that attract customers from around the globe. As an Event Planner/Coordinator, you will play a crucial role in managing all aspects of course execution, ensuring that each event runs smoothly and meets the high standards of our organization. In this role, you will be responsible for providing an exceptional course experience, which includes organization, preparation, execution, and follow-up. You will manage courses from start to finish, handling responsibilities before, during, and after each event. This position requires exceptional organizational skills and a strong focus on customer service, as you will be in constant communication with customers regarding course participation, registration, payment, and overall correspondence. Additionally, you will support various office responsibilities shared among the Course Manager Team, such as maintaining office and course supplies and assisting Dr. John Kois with various tasks. The ideal candidate will possess strong interpersonal skills, be detail-oriented, and have the ability to multi-task in a fast-paced environment. You will be expected to create and grow customer relationships, manage vendor relationships, and assist with additional roles and projects as needed. This position requires a motivated self-starter who can work independently with little supervision while also being a good team player. Responsibilities

  • Manage all aspects of course execution from start to finish.
  • Provide an exceptional course experience in organization, preparation, execution, and follow-up.
  • Create and grow customer relationships.
  • Maintain office and course supplies as part of office support responsibilities.
  • Assist Dr. John Kois with various tasks, including shipping and receiving.
  • Handle course support responsibilities shared among the Course Manager Team, such as creation and stocking of course supplies and room setup and breakdown.
  • Be the primary liaison to/from the Kois Center for member leadership.
  • Manage vendor relationships as assigned.
  • Assist with additional roles and projects as needed.

Requirements

  • Bachelor's degree, preferably in hotel/hospitality, business, or communication.
  • Three or more years of experience in a customer service role.
  • Proficient in Microsoft Office products (Word, Excel, Outlook, PowerPoint).
  • Comfortable with the use of Apple devices.
  • Strong written and verbal communication skills.
  • Detail-oriented with high-quality standards for production and service.
  • Dependable, trustworthy, and reliable.
  • Customer service focus with a diplomatic and calm demeanor.

Nice-to-haves

  • Experience in project management or event planning (1 year preferred).
  • Two years of customer service experience (preferred).
