About the position

The Event Planner supports the Events and Programming team at The Heritage Foundation in delivering exceptional event experiences that align with the organization's strategic priorities. This role involves managing the entire lifecycle of various events, from initial strategy and logistics to onsite production and post-event analysis, contributing to over 5,000 events produced annually.

Responsibilities

  • Communicate and collaborate with internal and external partners on event planning activities.
  • Plan and execute program logistics, including coordinating speakers, venue logistics, and vendor management.
  • Research venues and vendors, draft RFPs, and negotiate contracts.
  • Craft speaker invitation letters and manage speaker outreach and coordination.
  • Develop and edit event marketing materials to communicate the Foundation's mission.
  • Conduct after-action reviews and compile post-event reports to advise stakeholders.
  • Submit expense reports, process invoices, and monitor event budgets.
  • Provide cross-functional support across the Events & Programming team as needed.
  • Seek out continuing education on event management best practices.

Requirements

  • Bachelor's Degree
  • 3-5 years of experience in event management
  • Effective written and verbal communication skills
  • Proficiency in Microsoft Office Suite and ability to master new software
  • Experience with event registration platforms and donor management software preferred
  • Excellent organizational skills and attention to detail
  • Ability to think critically and handle emergency situations
  • Exceptional teamwork and customer service skills
