About the position

The Event Planner for Strategic Partnerships and Alliances at Liberty University is a pivotal role responsible for organizing and executing all departmental events both on and off campus. This position is situated within the Office of Strategic Partnerships, which engages with high-level individuals such as pastors, CEOs, and elected officials. The Event Planner will serve as the main point of contact for these events, necessitating a high degree of coordination, organization, and professionalism. The role requires collaboration with various internal department leaders and executive leadership to ensure seamless execution of events that align with the university's strategic objectives. In this capacity, the Event Planner will manage mass correspondence, including emails and phone calls, during events and conferences. Maintaining a high level of professionalism in all communications with guests and stakeholders is essential. The planner will also be responsible for researching guest speakers, compiling relevant data, and preparing operational reports to support event marketing efforts. This includes overseeing the scheduling, planning, marketing, risk management, budgeting, catering, and other logistical aspects of events. The role involves designing and executing external events, such as breakfast and lunch meetings, aimed at promoting Liberty University. The Event Planner will handle the purchasing and inventory of event supplies, manage secure contact information for attendees, and provide administrative support to leadership. Additional responsibilities include arranging meetings and travel for guests, reconciling program expenses with the department budget, coordinating event staff and volunteers, and performing various clerical duties associated with event operations. The position may also require occasional public speaking and hosting of key stakeholders at events.

Responsibilities

  • Coordinate and take ownership of mass correspondence during all events and conferences hosted by the Office of Strategic Partnerships and Alliances.
  • Maintain a high level of professionalism in all forms of correspondence with guests, external stakeholders, and internal stakeholders.
  • Research guest speakers, compile data and statistics, and prepare operational reports for marketing of events.
  • Act as the main point of contact for all internal departments at Liberty University regarding scheduling, planning, marketing, risk management, budgeting, catering, and other event aspects.
  • Design, plan, and execute external events to promote Liberty University.
  • Manage purchasing and inventory of all event supplies in an organized manner.
  • Maintain and manage secure contact information and data on all attendees for the department.
  • Provide administrative support to administrative leadership.
  • Perform clerical and administrative duties associated with event operations, including correspondence, greeting visitors, and answering phone calls.
  • Arrange meetings, travel arrangements, and program event details for all guests.
  • Reconcile program expenses with the approved department budget.
  • Coordinate all event staff and volunteers, including scheduling.
  • Perform other duties as assigned.

Requirements

  • Bachelor's Degree or equivalent experience.
  • Prior administrative support and large event planning experience preferred.
  • Superior ability to organize and maintain goals and deadlines to meet strategic objectives.
  • Ability to articulate and defend the unique Christian educational mission and vision of Liberty University to a wide variety of individuals and groups.
  • Intermediate skills in computer applications such as Microsoft Office products.
  • Well organized and can self-manage with minimal direction.
  • Ability to make independently guided decisions that keep events moving forward in a timely manner.
  • Professional verbal and written communication skills.
  • Self-starter, goal-oriented professional who is personable and able to foster working relationships with partners and colleagues.
  • Ability to work with a dynamic range of people and personalities.

Nice-to-haves

  • Experience in administrative support and event planning is preferred.
