About the position

Celerion is a global clinical research company in the heart of Lincoln, NE, committed to swift, exceptional clinical research through translational medicine. We are seeking an Event Planner to help with the logistics of client events and Celerion company events at our Lincoln site. The Event Planner will coordinate all client visits in the Lincoln site across all departments to ensure the client experience is seamless and positive. Additionally, they will support internal company departmental lunches, employee events and activities, and ad hoc activities as appropriate. This is a full-time role.

Responsibilities

  • Ensure client visits are tracked appropriately
  • Regularly liaise with appropriate internal contacts for on-site visits (clients as well as Celerion associates from other offices) to coordinate and manage all logistical aspects.
  • Maintain a list of available travel information for each site to support a client's and senior leadership visits (available hotels, nearby airports, restaurants, etc.)
  • Be available during meetings to escort clients within the building and to bring needed items to the conference room.
  • Create and distribute client on-site itineraries to all relevant internal groups.
  • Coordinate booking conference rooms for hosting all on-site client meetings, ensuring they are ready for the next meeting.
  • Coordinate ordering & delivery of food/beverages as requested including any dietary restrictions.
  • As needed, coordinate client transportation to/from sites.
  • Perform the above services for internal Celerion meetings and training sessions.
  • Work closely with Human Resources and Employee Event committees to coordinate, execute and manage all Company-wide events including but not limited to holiday parties and all-hands meetings.
  • Support general administrative needs within the site - across lines of service including being a backup for the reception desk, as needed.
  • Support senior leadership travel arrangements, site meetings and celebrations, company holiday events.

Requirements

  • High school diploma or GED
  • Prefer 6 months experience in event planning or hospitality
  • Excellent customer service skills with 2 years of customer service experience
  • Well-developed oral and written communication skills
  • Excellent interpersonal skills with a deep desire to make each experience fantastic
  • Strong Microsoft Office skills
  • Ability to work flexible day schedule to cover early morning, daytime and late afternoon events
  • Ability to manage multiple competing priorities in a very fast-paced environment
  • Excellent organizational and problem-solving skills
  • Willingness to seek direction when needed, consensus from invested parties, and ability to run with the information provided
  • Strong self-starter and independent worker
