Iowa State University is seeking an experienced and detail-oriented Admissions Event Planner to join our first-year recruitment team. The ideal candidate will be responsible for developing, planning, and executing impactful off-campus recruitment and yield events across the country and internationally. This role requires exceptional organizational skills, creativity, and a strong commitment to promoting Iowa State University's mission and values. The Event Planner III will play a crucial role in securing venues, managing logistics, and ensuring all efforts support recruitment goals and enhance the prospective student experience. The responsibilities of the Event Planner III include preparing and managing event budgets, tracking expenses, and negotiating with vendors. The planner will coordinate both domestic and international events aligned with recruitment goals, collaborating with recruitment teams and university departments to develop event concepts and themes. Logistical aspects such as venue selection, catering, transportation, and audiovisual needs will also fall under their purview. The planner will develop and maintain event timelines, ensuring deadlines are met, and provide strategic oversight and support for off-campus and on-campus recruitment events. Additionally, the Event Planner III will coordinate travel and manage relationships with university staff, vendors, student ambassadors, and alumni. They will create communication strategies, including announcements and promotional materials, in partnership with marketing teams. The planner will leverage data and feedback to track event success, inform future planning, and expand program reach. Proficiency in Salesforce will be necessary to maintain event calendars, manage registrations, and track metrics. Staying updated on industry trends to implement innovative event planning strategies is also essential. The position may require domestic and international travel to support recruitment events and goals, and participation in bi-monthly strategic planning meetings with the associate director is expected. The planner will also identify, hire, and manage on-site non-university staff to assist in venues and positively represent Iowa State University, adhering to departmental, university, and government standards and policies.
