About the position

The Events Planner will organize and coordinate various types of events, including conferences, meetings, parties, and corporate functions. This role involves collaborating with clients to understand their event requirements, managing budgets, and overseeing all logistical aspects of events to ensure successful execution.

Responsibilities

  • Provide event planning services for up to 50 events, including contracted events.
  • Facilitate and coordinate events, ensuring all elements are in place according to the event plan.
  • Travel to proposed venues for site visits as needed.
  • Provide monthly reports on event planning progress and outcomes.
  • Collaborate with clients to understand their event requirements, objectives, and budget.
  • Develop event concepts and themes based on client preferences and needs.
  • Research and identify suitable venues for events based on client requirements.
  • Assist with negotiating contracts and securing bookings with venues.
  • Create and manage event budgets, ensuring all expenses are accounted for and kept within the allocated budget.
  • Assist with marketing strategies to promote events and attract attendees.
  • Oversee event setup and manage event staff and volunteers during the event.
  • Oversee all logistical aspects of events, including transportation, accommodation, and equipment rentals.
  • Conduct post-event evaluations to assess the success of the event and gather feedback.

Requirements

  • High School diploma or GED with five (5) years relevant experience, or a Bachelor's degree with two (2) years experience, or an equivalent combination of education and experience.
  • Strong organizational and multitasking skills to manage multiple events simultaneously.
  • Excellent communication and interpersonal skills to collaborate with clients and vendors.
  • Proficiency in budget management and financial reporting.
  • Familiarity with marketing strategies and event promotion techniques.

Nice-to-haves

  • Experience with federal contracting events.
  • Knowledge of event technologies and industry trends.
