About the position

The Event Planner Supervisor at Eagle Mountain International Church (EMIC) plays a crucial role in coordinating and executing various projects and events under the guidance of the Operations Manager. This position requires a comprehensive understanding of event planning, as the supervisor will oversee all aspects of each project, ensuring that they are completed on time, within budget, and aligned with the church's vision and mission. The supervisor will be responsible for setting deadlines, assigning responsibilities, and updating action statuses to summarize progress effectively. In this role, the supervisor will coordinate events, projects, and activities in collaboration with senior leadership and church staff. They will supervise the events team, providing direction and support on various projects. A key responsibility includes identifying and defining the scope of each event by establishing clear objectives, work breakdown structures, and resource requirements. The supervisor will monitor all steps in the project plan, ensuring tasks are completed in a timely manner while also keeping a close eye on expenses and the overall budget for each project and event. The supervisor will assist in coordinating special receptions, VIP events, and meals, as well as managing gift preparation, including purchasing, coordination with volunteers, and delivery of baskets. They will also prepare linens and dishes for special events and dinners, assist in planning menus, and purchase groceries for both small and large events. Training volunteers for special events and hospitality teams is another critical aspect of this role. The supervisor must demonstrate exceptional stewardship of project funds and be proficient in using Smartsheet to track and record all required actions of a project event. Additionally, the supervisor will evaluate and report on event and process optimization as part of the annual church goals, providing qualitative input for after-action reports and recording lessons learned for historical use. Collaboration with the communication team is essential to optimize marketing strategies through church websites, social media, and other channels. The supervisor will also coordinate event details with the Social Media and Web teams to ensure proper advertising and updates, while communicating upcoming events to ensure all staff are informed.

Responsibilities

  • Coordinate EMIC events, projects, and activities in cooperation with senior leadership and church staff.
  • Supervise the events team members and provide direction on various projects.
  • Identify and define the scope of each event by establishing clear objectives, work breakdown structure, and resource requirements within the church vision and mission.
  • Monitor all steps in the project plan and assure the tasks are completed in a timely manner.
  • Monitor all expenses and the overall budget for each project and event, tracking and properly reporting all costs and expenses associated with the event.
  • Assist in coordinating special receptions, VIP events, and meals.
  • Assist with gift preparation - purchasing, coordination with volunteers, delivery of baskets.
  • Prepare linens, dishes, etc., for special events and dinners.
  • Assist in planning menus, groceries purchase, for small and large events.
  • Train volunteers for special events, speakers' room, and hospitality teams.
  • Order online products for Speakers Room and VIP events.
  • Demonstrate exceptional stewardship of project funds.

Requirements

  • High school diploma or GED required.
  • Must be computer literate and proficient in the Microsoft Office Suite.
  • High level of spiritual and emotional maturity.
  • Knowledge of biblical truths.
  • Knowledge, experience, and understanding of event planning strategies and processes.
  • Strong organizational skills and ability to multi-task.
  • Adept in problem solving and time management.
  • Excellent interpersonal and communication skills.
  • Detailed, with a keen eye for spotting inaccuracies.
  • Able to take direction and be a team player.
