About the position

The Event Planner at the Merchant Risk Council (MRC) plays a crucial role in executing high-quality conferences and events that uphold the organization's esteemed reputation. This position is responsible for the comprehensive planning and management of logistics for in-person meetings and conferences, which includes a wide array of tasks such as vendor selection, audio/visual arrangements, food and beverage coordination, signage, sponsorship management, registration processes, and mobile app integration. The Event Planner will also coordinate with various internal teams to ensure seamless execution of events. In addition to managing in-person events, the Event Planner will take the lead on MRC Virtual Summits. This involves negotiating and contracting with sponsors, establishing timelines, and ensuring that all deliverables are met in collaboration with the MRC content and marketing teams. The role requires meticulous adherence to project timelines and budgets, ensuring that all aspects of the event are executed on schedule and within financial constraints. The Event Planner will utilize tools such as Cvent and Salesforce to track and promote events effectively, while also managing communications with sponsors and attendees. The position demands a proactive approach to troubleshooting any issues that may arise during the event lifecycle, ensuring that all events run smoothly and successfully. The Event Planner will be expected to maintain strong relationships with vendors and stakeholders, ensuring that all parties are aligned and informed throughout the planning and execution phases.

Responsibilities

  • Manage logistics for in-person meetings and conferences, including space plans, vendor selection, audio/visual, food and beverage, signage, sponsorship/exhibit management, registration, and mobile app coordination.
  • Lead project management for MRC Virtual Summits, including negotiating and contracting sponsors, setting timelines, and ensuring fulfillment of deliverables.
  • Coordinate with the MRC content team to meet agenda deadlines and with the marketing team to achieve website and marketing goals.
  • Oversee vendors from contract until execution, ensuring adherence to project timelines and budget management.
  • Utilize Cvent, Salesforce, and vendor portals to track, promote, and communicate with sponsors and attendees effectively.
  • Monitor budget items and manage expenses to stay within the approved budget.
  • Build and track projects, contacts, and communications to ensure timely execution of deliverables.
  • Troubleshoot issues that arise during the event lifecycle.

Requirements

  • Bachelor's degree in event management or related field, or relevant on-the-job experience.
  • Minimum of 5 years of hands-on event management experience.
  • Strong analytical skills and excellent communication abilities.
  • Exceptional attention to detail in all aspects of event planning and execution.
  • Ability to adapt to changing circumstances and navigate unforeseen challenges during events.
  • Proficient in Microsoft Office applications, with knowledge of Cvent and Salesforce preferred.
  • Capable of establishing and maintaining effective working relationships with staff, vendors, and facility users.
  • Must be able to work a flexible schedule, including early mornings, evenings, weekends, and holidays.
  • Ability to travel domestically and internationally for on-site event management.
