About the position

The Event Planner is responsible for planning, coordinating, and executing a variety of direct response events, including seminars and client events. This role demands exceptional organizational skills, creativity, and attention to detail, as well as the ability to manage multiple projects simultaneously. The Event Planner will work closely with clients, vendors, and internal teams to ensure successful event delivery that aligns with the organization's goals.

Responsibilities

  • Plan, organize, and manage all aspects of events, including logistics, venue selection, guest lists, and entertainment.
  • Develop event concepts and strategies that align with client/organizational objectives and KPIs.
  • Negotiate and contract with vendors such as venues, caterers, and equipment suppliers.
  • Manage relationships with clients, stakeholders, and vendors to ensure clear communication and expectations.
  • Oversee the setup, execution, and breakdown of events, coordinating with staff and suppliers.
  • Research and choose appropriate vendors and speakers considering geographical location and travel needs.
  • Develop and manage event budgets, ensuring all expenses are accounted for and stay within limits.
  • Collaborate with the marketing team to promote events through various channels.
  • Coordinate event branding, signage, and collateral to ensure consistency with company standards.
  • Oversee the event on the day-of, managing all logistics including registration and guest check-in.
  • Ensure health and safety regulations are adhered to during events.
  • Conduct post-event debriefs and prepare reports to analyze event success.

Requirements

  • 5+ years of event management experience.
  • Experience with Salesforce is a plus.
  • Some knowledge of Adobe Photoshop and InDesign.
