About the position

As an Event Planner at SCI Shared Resources, LLC, you will play a crucial role in planning and implementing detailed events that support funeral services, visitations, and receptions. This position requires a high level of organization and communication skills, as you will be responsible for coordinating with families, vendors, and support staff to ensure that every event meets the family's wishes and contractual agreements. You will be expected to manage all aspects of event planning, from scheduling resources and vendors to overseeing the execution of the event on the day it occurs. Your responsibilities will include reviewing contracts with the Funeral Director to clarify event details, scheduling internal resources such as facility space and equipment, and contacting vendors to communicate expectations, budgets, and timelines. You will also manage the implementation of services arrangements, ensuring that all vendor products are inspected and any issues are addressed promptly. During events, you will be available to resolve any issues that arise and will work alongside support staff to set up arrangements and assist with event support. In addition to event planning, you will also handle various administrative tasks, such as sourcing local vendors for catering and flowers, developing catering menus, and maintaining vendor Key Performance Indicators. You will be responsible for documenting areas for improvement and collaborating with your manager to implement enhancements. This role requires flexibility in availability, as events often occur during nights and weekends, and you will typically work less than 20 hours a week, primarily indoors but also outdoors in various weather conditions.

Responsibilities

  • Plans events by reviewing contracts and discussing details with the Funeral Director.
  • Schedules internal resources including facility space, equipment, tables, chairs, and decorations.
  • Contacts and schedules vendors, communicating expectations, budget, and timeline.
  • Manages the implementation of services arrangements per contractual agreements.
  • Obtains and inspects vendor products and addresses any issues that arise.
  • Communicates instructions to support staff for set-up, work assignments, and clean-up during events.
  • Available during events to resolve issues and ensure everything meets the family's wishes.
  • Performs various event planning duties such as ordering memorabilia and coordinating electronic presentations.
  • Works with Corporate Products to source local vendors for catering and flowers.
  • Maintains vendor Key Performance Indicators and metrics regarding contract compliance.
  • Develops and maintains an Event Playbook including event plans and lessons learned.

Requirements

  • Associate's degree in hospitality, event planning, or a related discipline required.
  • At least two years of event planning experience may be considered in lieu of a degree.
  • At least one year of event planning or catering experience is strongly preferred.
  • Computer literate and proficient with Microsoft Office.
  • Ability to use proprietary software in the administration of responsibilities.

Nice-to-haves

  • Experience in a funeral service environment is a plus.
  • Strong interpersonal and communication skills.
