About the position

We are seeking an experienced Event Planner to join our team in Las Vegas, NV. This full-time position involves planning, coordinating, and executing a variety of live and virtual corporate events and meetings. The Event Planner will play a crucial role in ensuring the success and reputation of our organization through effective event management.

Responsibilities

  • Strategically plan and manage diverse live and virtual events for leadership, members, and staff, ensuring alignment with organizational objectives and budgetary constraints.
  • Develop an annual event calendar, considering local, state, and national events, and collaborate with leadership to establish event dates.
  • Involvement in event marketing strategies, sponsor package development, and promotional efforts in collaboration with other departments.
  • Conduct venue scouting visits, negotiate contracts, and coordinate event logistics, including attendee accommodation and parking arrangements.
  • Coordinate with leadership to determine event needs and ensure seamless execution, whether on-site or off-site.
  • Collaborate with the CEO and other leaders to review event plans, obtain approvals, and manage contracts and deposits.
  • Manage event registration processes, financial tracking, and post-event reporting.
  • Collaborate on long-range marketing plans for scheduled events, maximizing attendance and engagement.
  • Assist in drafting scripts and agendas for leadership events, ensuring alignment with organizational objectives.
  • Ensure compliance with policies, bylaws, and confidentiality guidelines in all event-related activities.

Requirements

  • Bachelor's Degree or equivalent experience.
  • Minimum five years of office experience within a trade association or similar membership-based organization.
  • Minimum ten years of experience in meeting planning and conference management.
  • Strong organizational, communication, and negotiation skills.
  • Proficiency in Microsoft Office Suite and database management.
  • Familiarity with Zoom meetings setup and management.
  • Experience in event planning best practices and project management expertise preferred.
  • Ability to multitask effectively and maintain professionalism in vendor and public interactions.
