About the position

The Event Planner position is responsible for organizing and managing events ranging from small gatherings to large-scale functions for up to 500 attendees. The role requires strategic planning, budget management, and collaboration with various internal and external partners to ensure successful event execution. The Event Planner will also assist with daily operations at the Client Center, providing exceptional service to clients and overseeing logistical details of meetings and receptions.

Responsibilities

  • Plan and execute events for 10 to 500 people with varying complexity.
  • Create and manage project plans and budgets, including preparation, management, and reconciliation.
  • Lead a team in executing events and manage multiple facets simultaneously.
  • Collaborate with senior management, middle management, and customers for effective event planning.
  • Provide strategic input and recommendations for event development to the business group.
  • Maintain relationships with internal business partners such as Food Services, Conference Services, Audio Visual, Security, and Facilities.
  • Manage all aspects of events including consulting, proposal development, site selection, vendor negotiation, and contract administration.
  • Coordinate logistics for events including menus, setup, decor, audio visual, and travel arrangements.
  • Assist with daily operations of the Client Center, including managing the front desk and providing service to clientele.
  • Oversee meeting room reservations and liaise with internal and external partners for event execution.
  • Solicit feedback and assist in surveying client experience.
  • Perform administrative tasks such as invoice processing and ordering supplies.

Requirements

  • At least 2 years of previous experience in event planning.
  • Ability to manage events of varying sizes and complexities.
  • Strong project management skills including budget management and reconciliation.
  • Excellent leadership skills to direct a team effectively.
  • Strong collaboration and communication skills to interact with various stakeholders.

Nice-to-haves

  • Experience with Event Management Systems (EMS).
  • Creative writing skills for invitations and event materials.
  • Knowledge of graphic design and website development for event promotion.
