About the position

The Technical Writer/Event Planner is a dual role that provides essential support services across both technical writing and event planning domains. This position is responsible for creating and coordinating written content for various publications, journals, SharePoint sites, and briefings. The individual will collaborate closely with subject matter experts and stakeholders to develop comprehensive event agendas, presentation materials, and promotional content. It is crucial that the content produced is not only accurate but also engaging and aligned with the client's objectives. In addition to writing responsibilities, the Technical Writer/Event Planner will assist in the logistical planning of conferences, seminars, and workshops. This includes tasks such as coordinating conference approvals, selecting venues, scheduling events, managing branding and printing requirements, and coordinating speakers. The role demands strong writing and organizational skills, a keen attention to detail, and the ability to thrive in a fast-paced, deadline-driven environment. The position also involves revising or writing standardized materials for reports, manuals, briefs, proposals, and other technical publications related to ongoing and completed projects. The Technical Writer/Event Planner will maintain detailed records and files of work and revisions, select appropriate illustrations, and assist in the layout of materials for publication. They may also be responsible for writing speeches, articles, and public relations releases, specializing in work methods and procedures. As the primary point of contact for planning and hosting large-scale events, the individual will manage all aspects of event logistics, including topic development, venue selection, and volunteer management. Regular meetings with government senior leaders will be held to provide updates on open actions and troubleshoot any obstacles that arise.

Responsibilities

  • Revises or writes standardized material for reports, manuals, briefs, proposals, and related publications.
  • Receives technical direction from supervisor or AF client and follows instructions with limited oversight.
  • Organizes material and completes writing assignments according to set standards regarding order, clarity, conciseness, style, and terminology.
  • Maintains records and files of work and revisions, selects photographs, drawings, sketches, diagrams, and charts to illustrate material.
  • Assists in laying out material for publication and arranges for typing, duplication, and distribution of material.
  • May assist in writing speeches, articles, and public or employee relations releases.
  • Primary point of contact for planning and hosting large scale events including topic development and venue selection.
  • Manages logistics for hotel and virtual platform, including cost reporting and volunteer management.
  • Hosts quarterly, monthly, and weekly Event Planning Meetings with government senior leaders to provide status updates and assign new actions.
  • Performs other job-related duties as required.

Requirements

  • Bachelor's Degree in Computer Science, Finance, Business or related field.
  • 10 years of experience in conference event planning.
  • Working knowledge of writing agency communication initiatives, including newsletters, articles, blogs, and announcements.
  • Ability to plan and execute large professional level conference events (300+ attendees) in both in-person and virtual formats.
  • Knowledge of planning AF Conference Events and protocol for submission of DoD Conference Approval Packages is desired.
  • Ability to develop training programs for personnel in project management.
  • Knowledge of AF Design & Construction Program is desired.
  • Must be a strategic thinker with the ability to overcome obstacles and provide solutions.
  • Ability to devise scheduling plans for incremental product reviews prior to final delivery.
  • Strong communication skills to interact with government senior officials.
  • Ability to multitask and coordinate access to facilities for briefings and interviews.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) and audio-visual setups, including Adobe Connect.
