About the position

The Event Planner position at Roberts Event Group involves overseeing special events and destination management programs across Pennsylvania, New Jersey, and Delaware. The role requires a dynamic individual who can manage multiple projects, ensure client satisfaction, and drive sales through networking and relationship building. The Event Planner will serve as the primary contact for accounts, lead the event planning process, and work closely with event coordinators to deliver high-quality events.

Responsibilities

  • Serve in a lead role in the event planning process and as the primary contact for accounts.
  • Oversee and participate in the planning and formation of events and programs from inception to completion, including on-site coordination and representation as needed.
  • Manage multiple clients and projects.
  • Attract clients by promoting the company positively, answering questions and addressing concerns as they arise.
  • Organize & produce detailed responses to RFPs.
  • Review & oversee proposal process with event coordinators.
  • Work closely with and mentor event coordinators.
  • Manage incoming sales inquiries from qualification through contract.
  • Consult, strategize, and manage sales efforts for the company.
  • Seek new client business relationships to secure growing sales and conduct sales presentations to clients.
  • Identify and develop additional sales opportunities within existing relationships.
  • Reinforce relationships with third parties & incentive management companies and hotels.
  • Participate in weekly office meetings.
  • Actively participate in industry organizations and networking events to promote Roberts Event Group brand awareness and build new business relationships.
  • Maintain knowledge of PA/NJ/DE region with a strong emphasis on Philadelphia as a destination.
  • Contribute photos for social media needs for the company.

Requirements

  • Minimum 3 years of direct experience in destination management & special events industry and 3-5 years of proven successful sales preferred.
  • Familiarity with PA/NJ/DE region with an emphasis on Philadelphia preferred.
  • Bachelor's Degree in Event, Hospitality and Tourism Management, Marketing or related discipline preferred.
  • CMP, DMCP or CIS certification preferred, but not required.
  • Advanced level skill in destination management services and best practices a plus.
  • Proficiency in creatively enhancing and delivering programs with a variety of standard services, including special events, staffing, tours, transportation and dine arounds, etc.
  • Experience generating and growing corporate event business.
  • Have existing and trusted relationships with hotels, venues, convention bureaus, restaurants, suppliers, destination icons, etc.
  • Financial acumen and understanding of budgeting.
  • Employee management experience a plus.
  • Ability to work both independently and as part of a team.
  • Outstanding organizational and project management skills; ability to handle several projects at different stages simultaneously; adhering to timelines, budgets, and appointments.
  • Excellent verbal and written communication skills and the ability to convey information accurately with confidence, respect, and clarity.
  • Must be able to write creative, detailed, and well-rounded proposals in a clear and concise manner.
  • Able to develop and manage productive relationships with colleagues, clients, and vendors; excellent listening skills and dedication to understand the needs of our clients; tactful negotiation and diplomacy skills; positive and professional client and guest services demeanor.
  • Must work well under pressure and tight timeframes, exercising good judgment and excellent interpersonal skills.
  • Display exceptional patience under pressure and the ability to remain professional under all circumstances.
  • Knowledge of and demonstrated proficiency in the use of the Microsoft Office suite of products including PowerPoint, Excel and electronic calendar systems preferred.
  • Capability to quickly learn new software.
  • Previous experience creating PowerPoint and/or Canva presentations and budget spreadsheets in Excel is a plus.
  • Must have the ability and flexibility to work at events that may be outside of regular working hours including evenings and weekends and/or over multiple days.

Nice-to-haves

  • Experience in sales and marketing within the event planning industry.
