About the position

The Event Planner at Alvarez & Marsal plays a crucial role in the planning and execution of various events, including training sessions, client meetings, and internal gatherings. Reporting to the Events Manager, the Event Planner is responsible for the comprehensive management of event logistics, content creation, and administrative tasks associated with the firm’s PEPI training programs. This position requires a proactive approach to ensure that all events are executed smoothly and meet the high standards expected by the firm and its clients. In this role, the Event Planner will create training schedules for all service lines, track outcomes, and maintain training records for attendees. They will plan small to medium-sized training sessions and meetings from inception to completion, ensuring that all details are meticulously managed. The Event Planner will also be responsible for creating detailed budgets, reconciling them with actual expenses, and collaborating with the finance team to ensure accurate financial reporting. The position involves drafting logistical plans, managing onsite operations for both in-person and virtual events, and establishing policies and procedures for effective event management. The Event Planner will work closely with various departments to develop and deliver training, manage event registration sites, and cultivate relationships with key business partners and vendors. Post-event debrief sessions will also be part of the responsibilities, aimed at gathering insights to enhance future operations. Additionally, the Event Planner will oversee compliance training records, monitor completion rates of pre-training assignments, and manage virtual platforms for training sessions. The role requires a blend of creativity, organizational skills, and the ability to work under pressure, ensuring that all events are not only successful but also contribute to the professional development of participants.

Responsibilities

  • Create training schedules for all PEPI's service lines and track outcomes.
  • Plan small to medium training and meetings from start to finish under the guidance of the Event Manager.
  • Create detailed Excel-based budgets with relevant analytics.
  • Reconcile training budgets with actuals, coordinating with the finance team.
  • Assist in content creation for internal meetings and trainings.
  • Draft logistical plans and run of shows for meetings and trainings.
  • Manage onsite operations for in-person and virtual events.
  • Establish, implement, and adhere to policies and procedures for event management.
  • Maintain shareable records of event aspects, including communications and training procedures.
  • Collaborate with various departments in the development and delivery of training.
  • Manage rooming lists and modifications for events.
  • Build and manage event registration sites.
  • Cultivate strong relationships with key business partners and vendors.
  • Assist in post-event debrief sessions to gather insights for future operations.
  • Develop comprehensive CPE invitations and submit necessary documentation to the Learning & Development department.
  • Monitor and audit lists of participants and ensure post-conduct assessments for continuous improvement.
  • Oversee compliance training records and support employees in completing required training.
  • Index event invoices and collaborate with accounts payable.
  • Monitor completion rates of pre-training assignments and communicate reminders to attendees.
  • Schedule prework for coaches and role players and manage communication.
  • Manage virtual platform rooms for training sessions and ensure a smooth environment.
  • Create and edit engaging videos for federal trainings.
  • Assign and maintain Simpli5 licenses for participants and coaches.

Requirements

  • Professional training and experience in curriculum design for case-based professional development programs.
  • Experience working with and presenting to C-level executives.
  • Minimum of 5-7 years of relevant meeting and conference planning experience.
  • Ability to handle multiple projects and assignments and analyze data effectively.
  • Strong judgment and problem-solving skills to resolve unanticipated issues.
  • Demonstrated calm under pressure at all times.
  • Extensive understanding of the hospitality industry and its operations.
  • Strong project management and organizational skills with attention to detail.
  • Excellent customer service and interpersonal skills.
  • Ability to work independently with limited supervision.
  • Proficient in Microsoft Office programs (Word, Excel, PowerPoint).
  • Working knowledge of Zoom, Microsoft Teams, Cvent, and virtual event management applications.
