Samaritan House is seeking proposals from experienced event planning professionals to organize and execute the 18th Annual Cowboy Up Benefit. This event is a significant fundraiser for our organization, supporting our mission to provide essential services and support to those in need. The event will feature a silent auction, live auction, raffles, and a catered dinner. The selected Event Planner will be responsible for overseeing all aspects of event planning and execution, ensuring that every detail is meticulously managed to create a successful and memorable event. The Event Planner will develop and manage a detailed event timeline and checklist, ensuring that all tasks are completed on schedule. They will secure and coordinate auction items, design and manage auction layouts, and facilitate the auction bidding processes. Additionally, the planner will organize raffle item acquisition and distribution while ensuring compliance with local regulations regarding raffles. Coordination with catering services will be essential to plan and execute the dinner, including managing menu selection, dietary restrictions, and service arrangements. The Event Planner will also coordinate logistics with the event venue, overseeing setup, decoration, and teardown. A marketing plan will need to be developed and implemented to promote the event, which includes creating promotional materials such as invitations, programs, and signage. Budget management is crucial, as the planner will prepare and manage the event budget, providing regular updates on expenditures and financial status. On-site management will involve supervising event staff and volunteers to ensure the smooth operation of all event activities.
