About The Position

The Event Planning Coordinator at the American Heart Association plays a crucial role in supporting the development team in their fundraising efforts. This hybrid/home-based position involves periodic travel for events across the Mississippi and Alabama Gulf Coasts and the Florida Panhandle. The coordinator is responsible for administrative support and event logistics, ensuring successful execution of various events while maintaining high service standards and effective communication with stakeholders.

Requirements

  • High School Diploma/GED; Bachelor's Degree preferred.
  • 2+ years of prior administrative support experience.
  • Excellent attention to detail and organizational skills.
  • Strong verbal and non-verbal communication skills.
  • Ability to prioritize and develop effective solutions.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook).
  • Ability to work outside standard hours, including evenings and weekends.
  • Willingness to travel periodically throughout the assigned territory.
  • Ability to lift +30 lbs and drive a rental box truck.

Nice To Haves

  • Proficient in Canva.
  • Understanding of or prior experience in event or meeting management.

Responsibilities

  • Create and update excel spreadsheets while maintaining communication with directors and volunteers.
  • Respond to customer inquiries in a knowledgeable and timely manner.
  • Prepare presentations, correspondence, and documentation.
  • Schedule meetings and ensure deadlines are met.
  • Work independently and within a team on special projects.
  • Secure and coordinate details with vendors for events.
  • Implement risk reduction procedures for events.
  • Recruit, schedule, and train volunteers for events.
  • Attend in-person events to coordinate setup and execution.
  • Act as a point of contact for vendors, supporters, and attendees.
  • Monitor event budgets and track invoices and expenses.
  • Prepare and distribute reports as requested.
