About the position

Thompson Palm Springs is seeking an experienced Event Planning Manager to join its pre-opening team. This role is pivotal in ensuring the successful execution of events at the hotel, which is designed to be a premier destination for both locals and travelers. The hotel features 168 bungalow-inspired guest rooms and suites, along with 8,000 square feet of event space, complemented by outdoor areas and unique venues. The Event Planning Manager will be responsible for managing group sales and local catering bookings, acting as the primary liaison between clients and hotel staff. This includes communicating event details to various departments and assisting the banquet team as needed. The position requires a proactive approach to ensure that all aspects of the event are executed smoothly, from the initial sales agreement to the final review of billing instructions. In this role, the Event Planning Manager will produce quotes and written confirmations for clients, meet with them to discuss event details, and provide tours of the property to showcase its features and services. Collaboration with team members is essential to ensure that guest needs are met, and the manager will have the autonomy to resolve any issues that arise, fostering guest loyalty. The position also involves working with vendors and adhering to internal budgets, as well as coordinating with the Banquet Chef on menu ideas and product offerings. Candidates should possess strong organizational skills and the ability to thrive in a fast-paced environment, with a preference for those who have two years of hotel experience or have completed an Event Management trainee program.

Responsibilities

  • Servicing group sales and local catering bookings.
  • Acting as the liaison between clients and hotel staff to ensure successful events.
  • Administering the sales agreement and detailing all food, beverage, and A/V needs.
  • Managing room blocks and pick-up, billing instructions, and final review.
  • Producing quotes and written confirmations for clients and staff in a timely manner.
  • Meeting with clients to discuss event details and escorting them through the property.
  • Collaborating with team members to communicate guest needs to staff and management.
  • Taking initiative to resolve guest complaints and create loyalty.
  • Working with vendors and adhering to internal event budgets.
  • Reviewing and coordinating with Banquet Chefs on creative menus and new product ideas.

Requirements

  • A minimum of 1 year of hotel event sales/event planning or comparable experience preferred.
  • Refined verbal and written communication skills.
  • Proficiency in general computer knowledge.
  • Detail-oriented and organized, able to handle a fast-paced environment.

Nice-to-haves

  • Two years of hotel experience or completion of an Event Management trainee program.
