About the position

The Event Production Manager at Convene will serve as the primary contact for clients during the planning and execution of meetings and events. This role involves overseeing all aspects of event production, ensuring that client expectations are met from the initial planning stages through to post-event follow-up. The Event Production Manager will collaborate with various teams, including sales, culinary, and AV, to deliver seamless event experiences across physical, hybrid, and virtual formats.

Responsibilities

  • Act as the primary point of contact for clients during the planning process.
  • Plan and oversee all aspects of meetings programs across physical, hybrid, and virtual products.
  • Communicate effectively with associates, clients, and all Convene departments in a service-oriented manner.
  • Serve as a pre-sales support function for the Sales team, advising on deadlines and requirements.
  • Prepare room diagrams and photos, and assist relationship managers in the contract phase.
  • Schedule and host kick-off calls with clients.
  • Develop event timelines and enforce pre-production deadlines to clients.
  • Facilitate conversations to understand client needs for their programs.
  • Prepare and distribute all room diagrams.
  • Work closely with culinary and service teams to finalize menus and timing.
  • Partner with AV teams to ensure client AV needs are understood and executed properly.
  • Recommend and coordinate with third-party vendors for event enhancements.
  • Host client Run of Show Review with AV Production team for Hybrid Events.
  • Create and maintain detailed event documentation for each booking.
  • Track project timelines and status updates in Clickup.
  • Create Program Execution Orders (PEOs), program diagrams, and invoices for post-contract add-ons.
  • Support Event Site Production team with livestream event platform details.
  • Conduct pre-event and post-event debriefs for internal stakeholders.
  • Follow up with clients on post-event deliverables.
  • Conduct weekly PEO meetings with on-site operations teams.
  • Provide status updates to stakeholders on pre-production milestones.
  • Supervise calculation of program checks and ensure client approval.

Requirements

  • 3+ years in a customer-facing role.
  • Prior experience in event planning and project management.
  • Comfort using web-based collaboration tools such as Slack, Salesforce, SmartSheets, and Google Suite.
  • Familiarity with SaaS, event platform/video/web conferencing is a plus.
  • Strong business acumen and ability to stay cool under pressure.
  • Natural problem solver with a focus on customer satisfaction.
  • Ability to multitask effectively.
