About the position

Ironclad Defense Works is seeking an experienced Event Registration Manager to support NATO's Strategic Engagement and Event Management processes. This role involves comprehensive management of registration processes for high-profile NATO events, conferences, and meetings using the CVENT platform. The Event Registration Manager will collaborate closely with NATO event organizers to ensure smooth, efficient, and secure participant registration, attendance tracking, and overall event management.

Responsibilities

  • Oversee and manage all aspects of event registration for NATO events using the CVENT platform, ensuring that the registration process is streamlined and user-friendly for participants.
  • Collaborate closely with NATO event organizers, project officers (PROJOs), and other stakeholders to ensure the event registration process aligns with the overall goals and structure of each event.
  • Create and manage registration landing pages and attendee portals, customizing them based on event needs and ensuring compliance with NATO branding and communication standards.
  • Provide direct communication and technical support to event participants, guiding them through the registration process, resolving technical issues, and ensuring they have the necessary information about the event.
  • Administer the registration approval process, handling sensitive participant data, and ensuring the accuracy of all registration-related details, including dietary restrictions, travel logistics, and security clearance information.
  • Track and report on event metrics, including registration numbers, attendance, and participant feedback. Provide post-event analysis to optimize future registration processes and enhance event outcomes.
  • Coordinate with NATO's finance and budget offices to set up and manage payment processes for events that require fees, ensuring seamless payment integration and financial tracking within CVENT.
  • Manage event agendas, speaker lists, and session details in CVENT, ensuring that all information is current, accurate, and accessible to attendees.
  • Maintain and update media and document libraries within CVENT and SharePoint for event-related materials, ensuring smooth access and distribution of content to participants and stakeholders.
  • Provide real-time troubleshooting for any technical issues that arise during the registration process or on the day of the event, ensuring seamless event execution.

Requirements

  • Advanced proficiency in CVENT or similar event management software is required, including hands-on experience with event registration setup, attendee management, and data analysis.
  • At least 3-5 years of experience in event registration and management for large-scale events, preferably within an international, governmental, or defense-related environment. Experience coordinating NATO or multinational events is a plus.
  • Exceptional organizational and multitasking abilities, with the capacity to manage multiple events simultaneously and coordinate with various stakeholders across NATO.
  • Strong written and verbal communication skills, with the ability to provide clear and concise instructions to both event organizers and participants. Experience providing technical support and troubleshooting is an asset.
  • Meticulous attention to detail, particularly in managing participant data, event logistics, and registration accuracy. Must be able to handle large volumes of data while ensuring compliance with NATO security protocols.
  • Active Secret clearance.

  • Familiarity with setting up and managing payment processes within CVENT, including integration with NATO financial systems.
  • Proven ability to troubleshoot technical and logistical issues quickly and efficiently, particularly in high-pressure event environments.
  • Ability to analyze registration and event data to provide insights for improving future event management processes.
  • Understanding of NATO's organizational culture and event protocols, with the ability to engage with international audiences and high-level stakeholders.

  • Competitive salary range of $65K - $85K per year.
