About the position

The Event Sales Coordinator at PRA Business Events plays a crucial role in supporting the sales team by managing relationships, coordinating logistics for events, and assisting with marketing materials. This hybrid position allows for some remote work flexibility while requiring the candidate to be based in the Palm Springs area. The coordinator will engage in various tasks, including site inspections, client communication, and administrative support, all aimed at enhancing the client experience and ensuring successful event execution.

Responsibilities

  • Support the Sales team with relationship management and logistics for client and hotel partner events.
  • Coordinate site inspections and manage supplier partner details, costs, and reconciliations.
  • Plan and coordinate client gifts and collateral for site inspections and program operations.
  • Update marketing assets and hotel presentations as needed.
  • Assist with client proposals and review them against RFPs before final review by the Sales Manager/Director.
  • Support logistics for key account and hotel FAMS and hosted events.
  • Maintain client and hotel information, running custom sales reports to support prospecting efforts.
  • Take notes during client calls and assist with client communication via phone or email.
  • Work with sales and XD teams to develop new products and update boilerplates.
  • Create marketing materials and support the sales and marketing budget tracking.

Requirements

  • Minimum 1-3 years of administrative and/or sales experience.
  • Strong administrative and organizational skills with attention to detail.
  • Experience in the hospitality industry in sales or conference services, or a degree in Hospitality and Tourism Management or Business Administration/Marketing.
  • Exceptional written and verbal communication skills.
  • Ability to juggle tasks and set priorities effectively.
  • Prior experience in meeting client deadlines.
  • Knowledge of regional destinations and venues.
  • Proficiency in Microsoft Office Suite and other applications.
