About the position

The Event Services Manager at the Santos Manuel Student Union (SMSU) of California State University, San Bernardino, plays a pivotal role in overseeing all aspects of event production within the union. This position is designed for a full-time, exempt employee who will report directly to the Associate Director of Operations. The SMSU serves as a central hub for students, faculty, staff, and guests, fostering connections and promoting cultural pluralism, gender equity, and ethnic diversity through various programs and activities. The Event Services Manager is responsible for ensuring that events are executed seamlessly, from initial reservations to event setup and audio-visual services. This role requires a proactive approach to managing a team, optimizing facility utilization, and coordinating with multiple departments to deliver successful events. The Event Services Manager will engage with both on-campus and off-campus event organizers to identify their needs, manage scheduling processes, and ensure high levels of customer support. This includes preparing and managing budgets, monitoring fiscal responsibilities, and utilizing critical thinking skills to allocate room assignments effectively. The manager will also maintain a high level of customer service by actively engaging with clients and addressing their needs promptly. The position requires flexibility in working hours, including late-night and weekend shifts, to accommodate the dynamic nature of event scheduling and execution. In addition to overseeing event logistics, the Event Services Manager will supervise the Audio-Visual Specialist and student assistant staff, providing a developmental work environment that fosters growth and learning. Responsibilities include hiring, training, and evaluating staff performance, as well as ensuring compliance with organizational policies and procedures. The role is integral to the SMSU's mission of providing a comfortable and engaging environment for personal growth and development through co-curricular activities.

Responsibilities

  • Oversee all aspects of SMSU event production, including reservations, event setup, and audio-visual services.
  • Meet with off-campus and on-campus organizers to identify their needs and manage the scheduling process.
  • Supervise the scheduling process and event setup, ensuring high levels of customer support for successful event outcomes.
  • Serve as the primary client representative for in-house and off-campus contacts, assisting with marketing initiatives.
  • Support fiscal management for scheduling, including preparing the annual budget and monitoring budget requests.
  • Utilize critical thinking skills to assess and allocate room assignments for optimal facility utilization.
  • Maintain a high level of customer service by engaging with clients and addressing their needs promptly.
  • Communicate and coordinate operations and event arrangements with various departments.
  • Develop and distribute weekly master calendars and monthly billing data.
  • Enter event data into the EMS system and manage the flow of paperwork for effective communication.

Requirements

  • Bachelor's degree in a related field or equivalent experience required.
  • 1-2 years of event production experience required.
  • 1-2 years of experience working with students preferred.
  • Strong interpersonal communication skills and problem-solving abilities in a fast-paced environment.
  • Ability to read and interpret safety rules and procedure manuals.
  • Proficient in word processing and spreadsheet software, including MS Office (Excel, Word, PowerPoint, Outlook).
  • Mathematical skills to calculate figures such as discounts and percentages.
  • Knowledge of financial management, including billing processes and pricing strategies.
  • Ability to solve practical problems and interpret various instructions.

Nice-to-haves

  • Experience with EMS Scheduling Software and diagramming software like Social Tables.
  • Associate in Project Management Certification or similar certification.
