The Event Services Manager (ESM) position at the University of Pittsburgh's Conference Services department is a pivotal role responsible for coordinating and executing a variety of events, both in-person and virtually. This position primarily focuses on the sales, planning, and execution of Summer Camps & Conferences (SCC) programs from March to August each year. The ESM will also assist with planning other events produced by Conference Services during the offseason. The role requires a proactive approach to managing event logistics, vendor relationships, and client communications to ensure a seamless experience for all stakeholders involved. In this role, the ESM will be tasked with soliciting and booking new and returning clients for SCC programs on Pitt's Oakland Campus. This involves confirming logistical details with clients and effectively communicating these details to campus partners in a timely manner. The ESM will facilitate the execution of all contracted activities, addressing any issues that may arise for SCC guests while on campus. Additionally, the ESM will assist department leadership in training and overseeing SCC Assistants, who are student workers supporting the event operations. The position demands a high level of customer service, as the ESM will provide prompt and professional assistance throughout all phases of event booking, detailing, and execution. This includes managing external vendors and internal campus service providers to ensure successful event execution. The ESM will also play a crucial role in facilitating a smooth transition from the Event Sales & Service teams to the Event Operations teams, ensuring that all event details and changes are communicated effectively. The University of Pittsburgh is committed to diversity, equity, inclusion, and accessibility, and the ESM will be expected to uphold these values in all interactions and event planning processes. The role requires flexibility in working hours, including evenings, weekends, and holidays, based on business needs, and may offer opportunities for remote work as necessary.
