About the position

The Event Support Manager is responsible for planning, coordinating, and executing a variety of events, ranging from local gatherings to national conferences. This role involves managing event logistics, budgets, and resources while serving as the main contact for stakeholders. The Manager collaborates with the Communications Department to develop promotional strategies, oversees event planning and execution, and ensures compliance with regulations and safety protocols. Post-event, the Manager supports data collection and evaluation, ensuring continuous improvement and effective relationship management with partners and sponsors.

Responsibilities

  • Develop and implement event plans and timelines for various events, overseeing setup, execution, and teardown.
  • Coordinate with internal teams and external vendors to ensure all logistical aspects of events are organized and executed as planned.
  • Manage event budgets, ensuring cost-effective solutions without compromising quality.
  • Recruit, train, and supervise volunteers for events in coordination with the Volunteer Services Manager.
  • Serve as the primary point of contact for event-related inquiries from stakeholders, including sponsors, attendees, and vendors.
  • Train or guide the work of other team members on occasion.
  • Maintain clear and consistent communication with all parties involved to ensure smooth event execution.
  • Collaborate with the Communications Department to develop promotional materials and strategies for events.
  • Ensure all events comply with local regulations and the organization's mission and values.
  • Implement safety protocols and emergency procedures to ensure participant well-being and accessibility.
  • Manage event-related resources, including equipment, supplies, and materials.
  • Build and maintain relationships with key partners, sponsors, and community organizations.
  • Continuously seek opportunities for collaboration and support to enhance event impact.

Requirements

  • Understanding of event planning principles, logistics, and best practices.
  • Knowledge of event budgeting, financial planning, and cost control.
  • Familiarity with event marketing strategies, social media, and promotional techniques.
  • Awareness of local regulations, safety protocols, and emergency procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, Teams, Outlook, PowerPoint).
  • Experience with or ability to learn Customer Relationship Management software (Salesforce, Oracle, Hubspot, etc.).
  • Competency in Video Meeting Software (Zoom, Teams, Google Meet, etc.).
  • Proactive and detail-oriented with a strong commitment to quality, efficiency, and effectiveness.
  • Proven experience establishing and maintaining effective working relationships with coworkers and stakeholders.
  • Ability to work independently with general supervision while prioritizing workloads to meet deadlines.
