About the position

The Events and Communications Manager at Dartmouth College plays a pivotal role in orchestrating a wide range of events and managing communications that enhance the visibility and impact of the Institute for Diversity and Equity (IDE). This position requires a dynamic individual who can handle all aspects of event planning and execution, collaborating with campus partners and external vendors to ensure successful events. The manager will be responsible for venue reservations, event setup and breakdown, catering, audio/visual requirements, and all other event-specific needs. A comprehensive events calendar will be maintained to track all IDE and partner events, ensuring that all stakeholders are informed and prepared. In addition to event management, the role involves developing and implementing communications strategies that align with institutional priorities. This includes creating digital and print content that shares IDE's impact stories, managing the IDE website, and overseeing social media accounts to maximize engagement with diverse audiences. The manager will also coordinate announcements across various platforms and act as the primary copy editor for all IDE communications, ensuring adherence to Dartmouth's brand and style guidelines. The position requires a high level of organization, problem-solving skills, and the ability to manage multiple projects simultaneously. The ideal candidate will demonstrate a commitment to diversity and inclusion, fostering a collaborative environment while also being able to work independently. The role may require some early mornings, evenings, and weekends, reflecting the nature of event management in a higher education setting.

Responsibilities

  • Responsible for all aspects of event planning and execution, including venue reservations, event setup/breakdown, and catering.
  • Develops and maintains a comprehensive events calendar for all IDE and IDE partner events.
  • Implements event protocols and checklists, including a CRM/EMS for drafting invitations and managing guest lists.
  • Creates and distributes background materials for events, including briefings and logistics memos.
  • Works with IDE leadership to develop guest and speaker lists, and manages logistics for invited speakers.
  • Establishes and maintains a facilities plan for the SVP event venue, including maintenance and inventory tracking.
  • Manages event-related vendor and speaker contracts, ensuring timely payment and reconciliation of receipts.
  • Supports the planning of team gatherings and broader division programs as needed.
  • Develops and implements communications and event marketing plans to increase IDE's visibility.
  • Creates digital and print content to share IDE impact stories and manage the IDE website and social media accounts.
  • Coordinates IDE announcements across community-facing platforms and acts as primary copy editor for IDE communications.
  • Provides monthly reports on event attendance and engagement metrics, making recommendations for improvement.
  • Supports IDE co-sponsored events and liaises with the Office of Communications for media coverage.
  • Coordinates the campus-wide MLK lecture series and maintains relationships with key offices.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • 5-7 years of experience in event management, communications, public relations, and/or marketing.
  • Demonstrated initiative, resourcefulness, and commitment to excellence.
  • Detail-oriented with strong problem-solving, organizational, and time-management skills.
  • Ability to manage multiple projects from inception to completion, adhering to deadlines and budgets.
  • Proficiency in writing and editing complex content for diverse audiences.
  • Strong interpersonal skills and cultural awareness to build consensus among diverse groups.
  • High-energy, positive, and entrepreneurial spirit, with the ability to work independently and collaboratively.
  • Experience with event and communications technologies such as Eventbrite, HubSpot, MailChimp, Canva, WordPress, and social media management systems.
  • Ability to lift and move objects up to 50 pounds.
  • Availability to work some early mornings, evenings, and weekends.
