Position Overview: The Events and Marketing Coordinator is a key role within BizFed, primarily responsible for planning, managing, and executing BizFed's signature events and meetings, ensuring seamless logistics and exceptional delivery. This role will also support BizFed's communications and marketing efforts, helping to promote events and activities through social media, email campaigns, and the BizFed website. Additionally, the coordinator will provide administrative support to ensure the smooth functioning of day-to-day operations. This full-time, exempt position reports directly to the BizFed Senior Director of Government Affairs working in a highly collaborative, fast-paced environment where flexibility, attention to detail, and a positive team spirit are essential.

Responsibilities

  • Plan, manage, and execute BizFed events, including annual signature events, forums, and meetings.
  • Liaise with caterers, audiovisual teams, and other vendors to ensure all event needs are met.
  • Assist with budget planning and tracking for events to ensure cost-effective execution.
  • Collaborate with the communications team to promote events via social media, email campaigns, and the BizFed website.
  • Oversee post-event activities, including tracking attendance and following up with attendees.
  • Submit and follow-up on requests to elected official offices to attend events to either speak or interact with BizFed members.
  • Create and post content on social media platforms to promote events and activities, including member events.
  • Maintain and update content on websites as directed.
  • Collaborate with Communications Director to develop event marketing and promotional materials.
  • Assist in drafting and sending email communications to members and stakeholders.
  • Help provide day-to-day administrative support, including checking mail, reporting and depositing receipts, answering phones, responding to emails, and managing office supplies.
  • Help manage the team calendar, schedule meetings, and coordinate logistics for internal and external meetings.
  • Help organize and maintain files, meeting notes, and event documentation.
  • Help maintain and update membership and contact databases.

Requirements

  • Bachelor's degree in Business Administration, Event Planning, Communications, or a related field.
  • Minimum of 3 years of experience in event planning, logistics, or administrative roles.
  • Strong organizational skills with attention to detail and the ability to multitask.
  • Excellent written and verbal communication skills.
  • Experience in managing social media platforms and basic website content management.
  • Proficiency in Microsoft Office Suite, Google Workspace, and database management tools.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Must possess a valid driver's license and access to a vehicle to travel to meetings and events.

Nice-to-haves
