About the position

LJA Engineering is seeking a highly motivated and talented Event Coordinator to join our NTX Marketing division. The Event Coordinator will play a crucial role in planning, coordinating, and executing our company's participation in various tradeshows and corporate events across the NTX and Central Texas regions. This position requires a proactive individual who can work collaboratively with internal teams, vendors, and the Regional Marketing Director to ensure seamless event execution. The Event Coordinator will be responsible for organizing all logistics related to special corporate events, including creating detailed event outlines and managing timelines to meet tight deadlines. This role involves providing guidance for attendee booking and registration, as well as arranging travel and accommodations. The successful candidate will collaborate with internal teams to develop objectives that effectively represent our company at tradeshows, while also managing budgets and maintaining records of all functions and event updates. In addition to event planning, the Event Coordinator will assist in the selection and inventory management of promotional materials, develop content for event materials, and work with the graphics team to produce high-quality outputs. The role also includes tracking and measuring desired outcomes post-event, producing regular reports, and coordinating the shipping of tradeshow supplies. The Event Coordinator will maintain an up-to-date calendar of upcoming events and stay informed about industry trends and competitor activities. Attendance at events may be required, and the role demands a professional demeanor and appearance at all times.

Responsibilities

  • Plan, coordinate and execute the company's participation in tradeshows and events.
  • Organize special corporate events for the NTX and Central TX offices, including all event logistics.
  • Create event outlines and coordinate planned events from start to finish.
  • Provide guidance for booking and registration of attendees and arranging travel and accommodations.
  • Collaborate with internal teams to develop objectives for effective representation at tradeshows.
  • Manage timelines and tight deadlines of tasks prior to events.
  • Maintain records while tracking budget and organization of all functions and event updates.
  • Work with internal teams to develop content for event materials and collaborate with the graphics team.
  • Assist in the selection, ordering, and inventory of promotional materials specific to each event.
  • Effectively follow up, track and measure desired outcomes, and produce regular reporting as needed.
  • Pack and coordinate shipping of tradeshow supplies/materials.
  • Assist with managing onsite execution and wrap-up for events.
  • Lead the development of pre-show, during show, and post-show marketing campaigns.
  • Maintain an up-to-date calendar of upcoming tradeshows and events, ensuring timely registration and submission of required materials.
  • Stay current with industry trends, competitor activities, and emerging opportunities in the event marketing landscape.
  • Attend events when needed and maintain an ongoing inventory of readily available event materials.

Requirements

  • 3+ years of corporate experience, preferably in event planning.
  • College Degree preferred.
  • Computer skills in Word, Outlook, Excel, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and organizational skills with the ability to work independently.
