About the position

The Events Manager at MoMath is a pivotal role focused on customer service and fundraising, responsible for building, managing, and growing the Museum's events business. This position serves as the first point of contact for potential clients and vendors, ensuring that all events, particularly private ones, meet and exceed expectations of excellence. The Events Manager will develop marketing strategies, manage logistics, and maintain relationships with various stakeholders to promote events at the Museum.

Responsibilities

  • Develop marketing and promotional strategies for presentation to senior management; implement approved programs.
  • Conduct research to identify and cultivate potential clients.
  • Actively market the Museum space for events, collaborating with the communications team.
  • Build and maintain relationships with event planners, caterers, and vendors.
  • Respond to inquiries and provide information about the Museum to clients, including availability and contract terms.
  • Arrange and conduct tours of the venue for prospective clients and follow up to close event sales.
  • Manage and maintain an accurate rental calendar to avoid scheduling conflicts.
  • Oversee planning and logistical needs for events, meeting with clients and caterers as needed.
  • Work with the finance team to maintain client event files, ensure accurate invoicing, and monitor events revenue and expenses.
  • Collect and maintain documentation from customers and vendors, including licenses and insurance certificates.
  • Coordinate with clients to schedule activities and arrange for audio/visual needs and vendor schedules.
  • Coordinate staffing, setup, access, and cleaning with floor managers.
  • Communicate with internal staff to ensure high-level execution of events.
  • Be available in person during events to handle any issues that arise.

Requirements

  • 5+ years of work experience in event sales and planning, preferably for a not-for-profit.
  • Ability to approach events with a customer service and fundraising perspective.
  • Excellent written and verbal communication skills with a broad range of constituents.
  • Keen attention to detail in all aspects of the job.
  • Strong organizational skills and ability to manage multiple projects simultaneously.
  • Experience providing white-glove-level service as needed.
  • Proven record of applying excellent judgement in executing responsibilities.
  • Demonstrated organizational skill with contracts, invoices, and other paperwork.
  • Efficient administrative skills; familiar with budgets, scheduling, and databases.
  • Ability to work individually or as part of a team.
  • Ability to adapt quickly to changes and troubleshoot to accomplish goals.
  • Familiarity with the event industry, preferably in New York City.
  • Flexibility in scheduling, including evenings and weekends.

  • Bachelor's degree or higher required.

  • Competitive salary range of $90,000 to $110,000 annually, based on experience.
