About the position

The Events Coordinator is a vital member of The San Diego Regional East County Chamber of Commerce, directly reporting to the Chamber President/CEO. This role is primarily responsible for the comprehensive coordination of all Chamber events and programs, ensuring that each event is executed flawlessly from inception to completion. The Events Coordinator serves as the primary point of contact for all events, collaborating closely with the CEO, Chamber members, business owners, sales and marketing teams, and event exhibitors. This position requires a proactive approach to managing relationships with potential sponsors, donors, venue contacts, and attendees, fostering connections that benefit the community and enhance the Chamber's outreach efforts. In this role, the Events Coordinator will oversee a variety of events, including but not limited to the First Friday Breakfast, Dine & Dialogue, WILL, Politics in Paradise, Leadership events, East County Honors, Golf Tournament, Mixers, and Ribbon Cuttings. The coordinator will work with both in-house teams and external contractors to create and distribute event listings across social media and other marketing platforms. Responsibilities also include managing event logistics such as setup, teardown, and follow-up activities, as well as establishing standardized procedures for event execution and training staff accordingly. The Events Coordinator will collaborate with the President & CEO to create and adhere to event budget targets, negotiate contracts, and recruit committee members and chairs. A strategic plan will be developed to delegate tasks based on individual strengths and community relationships. The coordinator will also be responsible for tracking key performance indicators for events and identifying areas for improvement for future initiatives. Additionally, this role involves supporting the maintenance and development of internal tools through technology, enhancing membership engagement and growth, and assisting with administrative tasks in the Chamber office, including marketing and social media efforts.

Responsibilities

  • Coordinate all Chamber events and programs from start to finish.
  • Serve as the primary point of contact for all events, collaborating with the CEO, Chamber members, and other stakeholders.
  • Oversee and manage events such as First Friday Breakfast, Dine & Dialogue, and Golf Tournament.
  • Work with in-house teams and external contractors to create and distribute event listings on social media and other platforms.
  • Manage event setup, teardown, and follow-up activities.
  • Establish standardized event procedures and train staff on execution.
  • Collaborate with the President & CEO to create and meet event budget targets.
  • Negotiate contracts and consult with the President & CEO on event planning.
  • Recruit committee members and chairs, delegating tasks based on strengths and community relationships.
  • Track event key performance areas and identify areas for future improvement.
  • Support the maintenance and development of internal tools through technology.
  • Assist with administrative tasks in the Chamber office, including answering phones and marketing efforts.

Requirements

  • Experience in Events Management and Production.
  • Ability to work with diverse stakeholders to develop common ground for events.
  • Capable of working independently and with internal and external teams.
  • Experience coordinating large-scale events and familiarity with event operations.
  • Ability to work under strict deadlines and maintain a positive outlook.
  • Strong work ethic and ability to develop community relationships.
