About the position

The Executive Admin position is a critical role within our organization, providing comprehensive administrative support to the Vice President and several additional managers. This position requires a highly organized individual who can manage multiple tasks efficiently and effectively. The Executive Admin will be responsible for coordinating travel plans, setting up meetings, and preparing PowerPoint presentations. Calendar management is a key aspect of this role, ensuring that the schedules of the executives are well-organized and that all appointments are met in a timely manner. Additionally, the Executive Admin will handle expense reports, ensuring that all financial documentation is accurate and submitted on time. The ideal candidate will be a team player, demonstrating flexibility and the ability to interact with all levels of management, customers, and clients. This role demands a proactive approach to problem-solving and the ability to anticipate the needs of the executives being supported. Strong communication skills, both written and verbal, are essential, as the Executive Admin will often be the first point of contact for internal and external stakeholders. The position requires a high level of discretion and confidentiality, as sensitive information will be handled regularly. Responsibilities

  • Provide administrative support to the Vice President and several managers.
  • Coordinate travel plans for executives, including booking flights and accommodations.
  • Set up meetings and prepare necessary materials, including PowerPoint presentations.
  • Manage calendars for executives, ensuring efficient scheduling of appointments and meetings.
  • Prepare and submit expense reports accurately and on time.
  • Act as a liaison between executives and other staff, clients, and customers.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Assist in various administrative tasks as needed to support the team.

Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite, particularly PowerPoint and Excel.
  • Experience in managing travel arrangements and expense reporting.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Flexibility to adapt to changing priorities and demands.
