About the position

The Executive Assistant to the President (EAP) is a full-time, benefitted, Professional staff position located at the Main Campus. The EAP directly supports the President with mission-related administrative, technical, and personal assistance that contribute to the overall success of the College. The EAP also serves the Board of Trustees in administrative and secretarial capacities. The EAP's primary duties are written and verbal communications, scheduling and calendar management, travel and meetings coordination, recorder/note taker, maintain and update policy manuals, monitor and manage office budget, and filing and records maintenance. Strong organization, communication, attention-to-detail, tact, and managerial skills are needed to meet mission requirements. The EAP typically works Monday through Friday, 8:00 am to 5:00 pm. The position requires occasional travel within the six-county Service Area and Wyoming.

Responsibilities

  • Serve as the College and President's representative for incoming calls and visitors; relieve the President of details and make/implement decisions within scope of authority
  • Act as the liaison between the President and the Board of Trustees (BoT), administrators, staff, faculty, partners, and the community
  • Prepare and distribute the Agenda and information packets for, and record the formal proceedings of, the BoT meetings
  • Compose correspondence, record/disseminate minutes, and follow-up on reports and assigned tasks
  • Maintain the office calendar; make travel and meeting arrangements for the President and BoT
  • Organize, track, and maintain changes to College policy manuals; ensure their posted publicly
  • Monitor and manage the annual budgets for the President and BoT; suggest changes/actions
  • Maintain fiscal records, process travel and purchase related documents, invoices, periodic reports, reconcile budgets, and assist budget development as needed or tasked
  • Voting member of President's Leadership Team (LT); record and publish a summary of LT meetings
  • Confidant to the President; keep President abreast of issues related to effective College administration
  • Assist in data collection and maintain President's Office filing system
  • Serve on various committees and ex officio member of President's Cabinet; arrange a multitude of campus/community related social events
  • Perform all other duties of a similar nature or level as assigned

Requirements

  • Bachelor's degree in Business, Communications, Education, Marketing or related field
  • Two years' work experience as Executive Assistant in education, public service, or private industry
  • Education/Experience Equivalency: Associate's degree in related field and five years' work experience as Administrative Specialist/Senior Admin Assistant (or equivalent) from which comparable knowledge, experience, and ability was acquired
  • Demonstrated exceptional tact, judgment, and decision-making
  • Proven effective verbal and written communications and personal leadership
  • Strong organization, details, and computer workstation with MS Office applications use capability
  • Current and valid state-issued Driver License
