The Executive Administrative Assistant III provides highly responsible, diversified, and confidential secretarial and administrative support to Senior Executives. This role is crucial in managing the office of Senior Executives and requires a comprehensive knowledge of executive operations, policies, practices, and personnel. The position involves coordinating and facilitating high-level executive functions with a wide latitude for independent judgment. The Executive Administrative Assistant is responsible for scheduling appointments and coordinating arrangements for meetings, conferences, and travel itineraries. In addition to managing the executive's calendar, the Executive Administrative Assistant performs a variety of duties to conserve the time of the executive, such as keeping personal business bookkeeping records and handling other personal business items as directed. This role demands a high level of tact and discretion due to the frequency of high-level internal and external contacts. The assistant must demonstrate a thorough understanding of the executive's job and methods of work, ensuring that all tasks are completed efficiently and effectively. The Executive Administrative Assistant also coordinates and/or supervises office administrative and support personnel, assigning, prioritizing, and monitoring their work. This includes assisting with numerous highly confidential functions, such as organizing merger and acquisition early-stage meetings and due diligence document organization. The assistant compiles, formats, prepares, and distributes Board of Directors and Committee meeting materials, minutes, and records, and may participate in other Board activities such as managing the Board website or preparing annual meeting documents. Additionally, the assistant tracks Board participation and activity and coordinates the payment of fees. Communication is a key aspect of this role, as the Executive Administrative Assistant communicates and coordinates with internal departments, community leaders, organizations, shareholders, and high-level customers to resolve issues and concerns, relieving the executive of administrative details. The assistant follows up on complaints to ensure their resolution and researches, assembles, and prepares data and special reports, providing analysis and summaries as needed. The role may also involve conducting projects as assigned, such as coordinating regulatory exams, and analyzing complex information requests to determine appropriate action.
