About the position

The Executive Administrative Assistant III provides highly responsible, diversified, and confidential secretarial and administrative support to Senior Executives at TD Bank. This role is crucial in managing the office of Senior Executives and requires a comprehensive understanding of executive operations, policies, practices, and personnel. The position involves coordinating and facilitating high-level executive functions, which allows for a wide latitude of independent judgment. The Executive Administrative Assistant is responsible for scheduling appointments, coordinating arrangements for meetings, conferences, and travel itineraries, and performing various duties to conserve the executive's time, such as maintaining personal business bookkeeping records and other personal business items as directed. In this role, the Executive Administrative Assistant must exhibit a high level of tact and discretion due to frequent high-level internal and external contacts. A thorough understanding of the executive's job and methods of work is essential. The position also involves coordinating and supervising office administrative and support personnel, assigning, prioritizing, and monitoring their work. The assistant will assist with numerous highly confidential functions, including organizing early-stage meetings for mergers and acquisitions and managing due diligence document organization. Additionally, the role includes compiling, formatting, preparing, and distributing materials for Board of Directors and Committee meetings, tracking Board participation, and coordinating payment of fees. The Executive Administrative Assistant will communicate and coordinate with internal departments, community leaders, organizations, shareholders, and high-level customers to resolve issues and concerns, relieving the executive of administrative details. The role requires research, assembly, and preparation of data and special reports, providing analysis and summaries, and conducting projects as assigned, such as coordinating regulatory exams. The ability to analyze complex information requests and determine appropriate actions is also a key responsibility.

Responsibilities

Requirements

  • Associate's degree and/or Bachelor's degree or progressive work experience in addition to 4+ years of related experience.
  • Exceptional secretarial and administrative skills.
  • Knowledge of division organization, terminology, and operations.
  • Ability to work independently and within a team.
  • Proven organizational skills, with the ability to keep others focused, on task, and efficient.
  • Excellent communication skills, both written and verbal, with the ability to work with all levels of the enterprise.
  • Demonstrated PC skills, including proficiency with spreadsheets, reporting tools, and presentation software.
