The Executive Admin Assistant / Project Coordinator position is designed to support the US Country Holding Officer's (CHO) administrative and project-related needs. This role will also involve close collaboration with key US functional leaders operating from the Cary HQ. In this position, you will have the opportunity to provide a range of administrative services, secretarial assistance, and project coordination support at both North American and global organizational levels. You will be responsible for delivering specific business processes and programs, showcasing your expertise in the field. The role requires in-person work at the Cary, NC headquarters, emphasizing the importance of direct collaboration and communication with various teams. Your main responsibilities will include acting as the primary point of contact for the US CHO office, leading and supporting projects managed by the US CHO, and collaborating extensively with teams in Legal, Tax, HR, Treasury, Communications, and Information Services. You will assist business managers with all relevant administrative tasks, conduct research, compile and verify information, and create reports, presentations, organization charts, and correspondence. Additionally, you will manage internal and external inquiries, arrange critical events, and support executive-level communication efforts by drafting announcements and company-wide messaging.

Responsibilities

  • Acting as a primary point of contact/liaison for the US CHO office based in Cary HQ.
  • Leading and supporting projects managed by the US CHO, collaborating with Legal, Tax, HR, Treasury, Communications, and Information Service teams.
  • Assisting business managers in all business-relevant administration tasks, including conducting research and creating reports and presentations.
  • Managing internal/external inquiries via phone and email, assessing urgency, and initiating appropriate action.
  • Arranging business-critical internal/external events, including travel arrangements and coordinating with visiting speakers.
  • Supporting executive-level communication efforts, including drafting announcements and company-wide messaging.

Requirements

  • Bachelor's degree (Required) with a minimum of 3+ years' experience in an administrative and/or project-based role.
  • Strong computer skills required, specifically MS Excel and PowerPoint; SAP ERP experience preferred.
  • Highly organized with analytical and project management skills; an aptitude for numbers, problem solving, and attention to detail.
  • Experience with Microsoft Outlook, Teams, and calendar management preferred.
  • Ability to effectively handle highly sensitive and confidential information.
  • Experience in a large, corporate environment, preferably global and matrixed.
