About the position

We are seeking a highly skilled and organized Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional problem-solving skills, adaptability, and the ability to work independently. This role involves a wide range of responsibilities, both internal and external, requiring independent thinking and judgment. The successful candidate will manage complex calendars, coordinate meetings, and provide solutions to non-routine problems, ensuring smooth operations and timely completion of tasks. Additionally, the role requires maintaining confidentiality and handling sensitive information with discretion, making it essential for the candidate to demonstrate a high level of professionalism and attention to detail. In this position, you will be responsible for managing complex calendars, including scheduling appointments, meetings, and travel arrangements. You will also coordinate and organize meetings, preparing agendas, taking minutes, and distributing relevant materials. The role requires you to provide solutions to non-routine problems of moderate scope and complexity, demonstrating independent thinking and adaptability. Routine tasks such as filing, data entry, and document preparation will also be part of your responsibilities. You will support executives in their day-to-day activities, ensuring smooth operations and timely completion of tasks. Proficiency in MS Office applications is essential, as you will be creating and editing documents, spreadsheets, and presentations. Maintaining confidentiality and handling sensitive information with discretion is a critical aspect of this role.

Responsibilities

  • Manage complex calendars, including scheduling appointments, meetings, and travel arrangements.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing relevant materials.
  • Provide solutions to non-routine problems of moderate scope and complexity, demonstrating independent thinking and adaptability.
  • Perform routine tasks such as filing, data entry, and document preparation.
  • Support executives in day-to-day activities, ensuring smooth operations and timely completion of tasks.
  • Utilize MS Office applications to create and edit documents, spreadsheets, and presentations.
  • Maintain confidentiality and handle sensitive information with discretion.

Requirements

  • Minimum of 3 years of experience as an Executive Assistant or similar role, preferably in a fast-paced environment.
  • Strong problem-solving skills and the ability to provide solutions to routine and non-routine problems.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficiency in MS Office applications, including Word, Excel, and PowerPoint.
  • Exceptional communication skills, both written and verbal.
  • High level of professionalism and the ability to maintain confidentiality.
  • Strong attention to detail and accuracy.
  • Ability to work independently with minimal supervision, while also taking direction from executives.
