About the position

As an Executive Administrative Assistant at Nestlé Purina Latin America & the Caribbean Office, you will be an essential part of a dedicated team of administrative professionals who are proactive and committed to supporting the organization's operations. You will be responsible for providing advanced administrative and organizational support to the President and Vice Presidents, ensuring that their schedules and projects run smoothly. Your role will involve a variety of tasks, including coordinating projects, managing calendars, scheduling meetings, and making travel arrangements. You will also support special projects, create presentation materials, and prepare reports and spreadsheets, all while maintaining a high level of confidentiality and professionalism. In this dynamic position, no two days will be the same. You will be tasked with managing and maintaining the executives' calendars, acting as a liaison between the office and internal customers, and handling communications via phone and email. Your responsibilities will extend to organizing team events, client visits, and off-site meetings, which will require you to coordinate logistics, food, and meeting spaces. Additionally, you will provide clerical assistance, including mail distribution, document reproduction, translation, and processing invoices and expense reports. You will also be responsible for developing and maintaining both physical and electronic filing systems for department records, ensuring that all information is organized and easily accessible. Responsibilities

  • Provide advanced administrative and organizational support to the President and Vice Presidents.
  • Manage and maintain executives' calendars, schedule meetings, and arrange travel.
  • Act as a liaison between the office and internal customers, company executives, and outside firms.
  • Perform advanced and diversified assignments of a confidential nature for the leadership team.
  • Coordinate and provide meeting support for team events, including regional events and client visits.
  • Organize Leadership Team meetings and Operational Reviews.
  • Provide clerical assistance, including mail distribution, document reproduction, and translation.
  • Develop and maintain the physical and electronic filing system for department records.
  • Create PowerPoint presentations and prepare reports/spreadsheets.

Requirements

  • High school diploma or equivalent.
  • 3+ years of experience in an administrative function, analytics, corporate meeting and travel, project management, or related function.
  • Bilingual in English and Spanish.

Nice-to-haves

  • Associate's or Bachelor's degree from an accredited institution is preferred.
