About the position

The Executive Administrative Assistant for Life Product at Nationwide Financial is a crucial role that supports the Life Product Team by managing complex administrative tasks. This position requires a proactive individual who excels in multitasking, organization, and communication, ensuring that executives' needs are anticipated and met efficiently. The role involves coordinating schedules, travel arrangements, and various administrative functions while maintaining a high level of professionalism and discretion.

Responsibilities

  • Manage daily and long-term calendars for multiple leaders and teams.
  • Coordinate travel plans and make mid-trip changes as necessary.
  • Compile information for reports and presentations.
  • Screen communications for action items and due dates, bringing key items to the leader's attention.
  • Draft responses for executive review, implementing their style into all communications.
  • Assist with office procedures to enhance team productivity and efficiency.
  • Monitor departmental expenses and process expense reports in a timely manner.
  • Manage budget for meeting planning and conduct quality checks on invoices/accounts payable.
  • Input travel expenses for payment and review for accuracy.
  • Stay updated on company procedure changes and policies that impact departmental plans.
  • Participate in special projects as assigned.

Requirements

  • High school diploma or GED required; vocational or technical business school studies in secretarial science preferred.
  • Six or more years of related administrative assistant experience required.
  • Administrative professional certification(s) such as Certified Administrative Professional (CAP) or Certified World Class Assistant (CWCA) are a plus.
  • Strong communication skills to interact with all levels of leaders and associates.
  • Ability to proofread work for content and format accuracy.
  • Intermediate mathematical calculation skills.
