The Executive Administrative Assistant will provide essential administrative support to the Vice President and the four-person leadership team of the Global Technology and Innovation Communications Team at General Motors. This role is pivotal in ensuring smooth operations and effective communication within the group. In this role, the Executive Assistant will be responsible for a variety of tasks, including providing comprehensive administrative support, managing calendars, scheduling meetings, coordinating travel arrangements, and managing expenses for the Vice President and the leadership team. They will assist in the planning and execution of communication projects, ensuring that deadlines are met and objectives achieved. The candidate will also be expected to track project progress and provide updates as necessary. High proficiency in GM technologies and the ability to embrace new technologies, programs, applications, and tools to enhance productivity is essential. The Executive Assistant will create, edit, and format documents, spreadsheets, and presentations, ensuring all materials are accurate and professional. Additionally, the Executive Assistant will serve as a liaison between the Vice President and internal/external stakeholders, crafting clear and impactful communications while handling confidential information with discretion. They will organize and facilitate team meetings, oversee alias and channel management, and ensure the Communications team is aligned and working efficiently. The role also involves identifying opportunities for process improvement and taking the initiative to implement solutions that enhance productivity and efficiency. The Executive Assistant will work across various departments to gather information, coordinate efforts, and ensure the successful completion of projects, building and maintaining strong relationships with colleagues at all levels. Event planning is also a key responsibility, ensuring all logistics for internal and external events are handled seamlessly.

Responsibilities

  • Provide comprehensive administrative support to the Vice President of Communications and the leadership team.
  • Manage calendars, schedule meetings, coordinate travel arrangements, and manage expenses.

Requirements

  • 5+ years of administrative experience supporting C-Suite executives.
  • Bachelor's Degree strongly preferred or equivalent experience.
  • Demonstrated high level of integrity and discretion in handling confidential matters.
  • Ability to operate in a fast-paced, dynamic environment.
  • Proactive anticipation of leader and business needs.
  • Ability to work independently on projects in an ever-changing environment.
  • Highly proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Excellent oral and written communication skills.
