About the position

The Executive Administrative Assistant/HR Assistant position at Biogensys is a full-time contract role based in Little Falls, NJ, offering a competitive pay rate of $22 per hour. This role is designed to provide high-level, high-touch, and confidential administrative support to the Vice President of Human Resources (VPHR). The successful candidate will be responsible for a variety of tasks that are crucial to the smooth operation of the HR department and the overall functioning of the Division. Key responsibilities include managing the VPHR's calendar, scheduling appointments, and coordinating the development and management of the Division's budget using Adaptive Insights. The role also involves processing finance and accounts payable transactions through Workday, ensuring accuracy and timeliness. The Executive Administrative Assistant will lead and provide administrative and analytical support for special projects that impact both the Division and the University as a whole. In addition to these responsibilities, the position requires the collection and manipulation of data from various sources, preparing detailed reports and spreadsheets to aid in decision-making processes. The candidate will also be the first point of contact for the main Human Resources line, responding to inquiries and directing them to the appropriate HR staff members. Professional interaction with internal and external stakeholders is essential, as is the ability to prepare accurate correspondence, spreadsheets, and PowerPoint presentations. The role demands a high level of organizational skills, attention to detail, and the ability to maintain collegial relationships within the workplace.

Responsibilities

  • Providing high-level, high-touch, and confidential administrative support to the VPHR.
  • Scheduling appointments and managing the Vice President's and Division-wide calendars.
  • Coordinating and leading the development and management of the Division's budget using Adaptive Insights.
  • Processing finance/accounts payable transactions for the Division in Workday on a timely and accurate basis.
  • Leading and providing administrative and analytical support for special projects related to Division and University-wide operations.
  • Collecting data from internal/external sources and preparing spreadsheets/reports to support decision-making.
  • Answering the main Human Resources line and directing inquiries to the appropriate HR staff member.
  • Preparing technically sound, accurate, and timely correspondence, spreadsheets, and PowerPoint presentations.
  • Preparing and updating University organizational charts.

Requirements

  • Required bachelor's degree from an accredited college or university.
  • Minimum of three years' experience providing high-level administrative support to an executive.
  • Superior analytical and project management skills.
  • Superior proficiency with Microsoft Office (Excel, PowerPoint, Visio, and Word).
  • Strong written, verbal, interpersonal, and customer service skills.

Nice-to-haves

  • Proficiency with Workday HCM/Finance.
  • Experience with Adaptive Insights.
  • Advanced Excel skills including formulas, pivot tables, and VLOOKUPs.
  • Strong organizational skills with a high level of accuracy and attention to detail.
  • Ability to establish and maintain collegial working relationships with internal and external constituencies.
  • Experience working in a higher education or non-profit human resources unit or providing human resources consulting services.
  • A tolerance for ambiguity.
