About the position

The Executive Administrative Assistant in Human Resources provides high-level administrative support to the Director, facilitating various functions such as scheduling meetings, coordinating assignments, and performing other administrative duties to support the department's mission. This role is essential in creating a welcoming environment for employees and requires strong organizational skills to manage multiple tasks effectively.

Responsibilities

  • Provides administrative and clerical support to the Director.
  • Participates in various department, City, and public projects and events.
  • Responds to inquiries from the public in person and by telephone.
  • Prepares memoranda, letters, departmental procedures, agendas, resolutions, ordinances, and other documents as required.
  • Processes invoices and manages departmental purchasing records; resolves disputes with vendors.
  • Prepares travel registrations and necessary authorization and expense forms; maintains departmental records.
  • Prepares payroll and personnel forms for workmen's compensation, accident reports, insurance, and other related functions.
  • Performs related work as assigned.

Requirements

  • High School graduation or GED equivalent.
  • Two (2) years of administrative, clerical, or related experience, or an equivalent combination of education, training, and experience.
  • Valid state driver's license with an acceptable driving history.
  • Strong computer skills in Microsoft Office and Canva.

Nice-to-haves

  • Experience in managing documents and creating engaging materials.
