About the position

The Executive Administrative Assistant I position at the Phoenix Fire Department is designed to support the Executive Administrative staff in ensuring smooth daily operations. This role involves managing administrative tasks, overseeing district secretaries, and facilitating effective communication within the department. The ideal candidate will possess strong organizational and communication skills, along with the ability to handle multiple tasks efficiently. This position plays a crucial role in contributing to the department's mission of providing high-quality public safety services to the community.

Responsibilities

  • Oversee the functions and manage the district secretaries for the department.
  • Ensure consistent training and administrative support across all battalions in support of the Operations Assistant Chief's mission and vision.
  • Provide backup coverage for district secretaries to ensure seamless customer service.
  • Promote consistency and compliance with City and Fire policies.
  • Perform routine assessments and identify areas for process improvement to evolve and meet the department and community needs.
  • Prepare reports as needed to track member leave time, exceptions, etc. to support Fire staffing efforts.
  • Liaison between Fire sections and districts/battalions (i.e., timekeeping for station, leave, staffing, supplies, troubleshooting, etc.).
  • Support the Executive Administrative Staff with duties as needed.
  • Support the RBO process for the battalions/districts.

Requirements

  • Bachelor's degree in public or business administration or a related field.
  • One year of paraprofessional experience in governmental research and finance administration or aiding an administrative officer in technical and administrative problems.
  • Demonstrated proficiency in Microsoft Office Suite.
  • Advanced typing skills and calendar scheduling experience.
  • Strong communication and organization skills.
  • Detail-oriented with proofreading and memo writing skills.

Nice-to-haves

  • Three or more years of supervisory experience, preferably in a governmental or public safety environment.
  • Experience working with public entities or public safety systems (i.e., Fire or Police departments).
  • Experience in supporting executive-level staff.
  • Experience in administrative management and organization across multiple locations.
  • Experience managing complex calendars and schedules.
